The Tenant Services Coordinator is expected to develop and maintain strong working relationships with the tenants at Hall of Fame Village and be accountable to the Tenant Relations Director for ensuring issues and needs are responded to and resolved by the appropriate individual, department, or service. This position will also have some responsibility for general administrative, accounting, help desk, and event coordination functions as they pertain to tenants and operation of the building. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. This individual must have the ability to be a forward thinker to anticipate needs to maximize initiatives set forth by a rapidly growing company. Given the changing nature of the campus and our tenant teams, we rely on our team members for flexibility and anticipation, while maintaining confidences related to high-level systems and operations. The ability to work under pressure in a fast-paced environment is critical. Essential Job Functions/Responsibilities: - Is the key on-site support staff for tenant relations. Must diligently support and maintain good working relationships with tenants and vendors. Orients new tenants and their staff on campus policies and procedures. - Oversee critical projects that have a direct impact on the department’s goals and initiatives as directed by management. - Assists management with day-to-day operation of the property in accordance with policies/procedures, management agreements, and client needs. - Acts as the first point of contact for tenant service calls, requests, and issues. Directs tenant service requests to the appropriate staff or contract service for resolution including operations, development, maintenance, custodial, and external vendors. Is responsible for issuing and obtaining approvals for tenant work order requests. - Responsible for obtaining and filing tenant and vendor insurance certificates, maintaining tenant contact list, emergency contact lists, issuing and updating building pass list, and maintaining other records and files pertinent to tenants and vendors. - Assists with billing, rent collection, and other tenant charges in compliance with lease agreements. - Assist with coordination for campus scheduling and oversight of calendar management as it pertains to tenanting, as well as related management of content, asks to internal and external parties, and flow of information. - Assists with general administrative tasks as assigned including filing, answering phones, distribution of mail, written correspondence especially to tenants, ordering supplies, computer and data entry work, preparing spreadsheets and reports, greeting visitors and tenants, and logging and dispatching tenant service calls. Must be able to perform administrative and office support, such as typing, spreadsheet creation, and maintenance of filing systems and contact database. - Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing within the business. - Organize team communications and plan events, both internally and offsite. - All other duties as assigned. SALARY / EXEMPT POSITION Requirements Required Knowledge, Skills, & Desired Qualifications: - 3-5 years’ experience in a project management, logistics, leasing, legal support, coordinator, or administrative role. College degree, trade school certificate, or military leadership experience preferred. - Consistent performance exhibiting a high level of initiative, sense of urgency, extreme attention to detail, quick learning capability, common sense, and ability to problem-solve. - Excellent communication skills including polished written and verbal communication, comprehension, and interpersonal skills. Strong lease and legal contract interpretation skills and familiarity with lease accounting. - Highly proficient in Microsoft Office—Outlook, Word, Excel, and PowerPoint are a must—and comfortable with learning new technology platforms. - Proactive/self-starter with the ability to work effectively and remain organized in a high volume and fast-paced environment without compromising quality. - Strong time-management skills as well as the ability to prioritize, multi-task, and coordinate multiple projects at once. - Ability to work both independently and as a flexible team player willing to do what it takes to get the job done in a dynamic small-office environment; adaptable and enjoys a challenge. - An individual with the ability to take direction in a straight-forward manner during times of high-performing and fast-paced business matters is critical. - Ability to keep company confidences and maintain confidentiality. - Must be able to work some weekends and non-traditional hours for tenant involved campus events. - Must be available to work in Canton, Ohio.
