Facilities CoordinatorCorporate Accounts Work Dynamics EMEAThe Facilities Coordinator plays a critical role in the smooth and efficient operations of the Work Dynamics business line. This position is responsible for coordinating and overseeing a range of facility-related activities, including maintenance, space planning, vendor management, and project coordination. The Facilities Coordinator ensures that workspaces are well-maintained, optimally utilized, and provide a productive environment for employees and clients.Key ResponsibilitiesSpace Planning and AllocationCollaborate with internal stakeholders to understand space requirementsCoordinate space allocation, moves, and relocationsEnsure offices and workstations are properly equipped and maintainedAssist with furniture procurement and installationMaintain accurate floor plans and space utilization recordsFacilities MaintenanceCoordinate with vendors and suppliers for routine maintenance and repairsPerform regular inspections of facilities and report any issues or deficienciesRespond to facility-related service requests in a timely mannerMonitor and schedule preventative maintenance activitiesDevelop and implement facilities maintenance schedules and proceduresVendor ManagementSource and evaluate vendors and service providersNegotiate contracts and service level agreementsManage vendor relationships, ensuring quality and timeliness of servicesMonitor vendor performance and address any issues or concernsProcess invoices and maintain financial records related to facility servicesProject CoordinationAssist with the planning and execution of facility-related projectsCoordinate with internal teams and external stakeholders to ensure project timelines and objectives are metTrack project progress and provide regular updates to managementManage project budgets and expensesEnsure compliance with relevant regulations and standardsHealth and SafetyEnsure compliance with health and safety regulations in the workplaceConduct regular inspections to identify and address safety hazardsDevelop and implement emergency response plans and proceduresCoordinate training programs for employees on safety and emergency proceduresMaintain accurate records of safety inspections and incidentsQualificationsBachelor's degree in Facilities Management, Business Administration, or related field (equivalent experience will be considered)Proven experience in facilities coordination or related roleSound knowledge of facility management principles and practicesExcellent organizational and multitasking abilitiesStrong interpersonal and communication skillsProficient in using facility management software and toolsAbility to work independently and as part of a teamStrong problem-solving and decision-making skillsFamiliarity with health and safety regulations and best practicesWhat we can do for you:At JLL, we make sure that you become the best version of yourself by helping you realise your full potential in an entrepreneurial and inclusive work environment.
