Summary: Indirect Purchasing includes procurement of materials, services or maintenance required to operate the business (MRO, Office, IT, Logistics, Sales and Marketing, Travel, etc.). Assess opportunities for savings and efficiencies with the establishment and day-to-day management of operations for the indirect spend team. Create a streamlined process for internal requisitioners to place orders, allowing for high levels of internal customer service. Partner with Strategic Sourcing and SRM Manager to ensure alignment of purpose and function. Time Utilization: Travel is less than 10%. Normal business hours are 8:00 a.m. to 5:00 p.m. Schedule needs to be flexible to accommodate internal and external customer schedules. Essential Duties and Responsibilities include the following. Other duties may be assigned: Develop a plan for implementing an Indirect spend team; and determine the resources, procedures and tools required to prioritize the realization of efficiency, cost savings and customer satisfaction. Assist in strategic sourcing and vendor management for third-party vendors utilized by the indirect spend team. Establish a digital purchase requisition system (e.g. Onventis) for applicable indirect purchasing processes and related support functions (requisition, approval, vendor contacts, vendor ratings, payment, spend analytics, etc. Identify and address risks and issues related to the indirect spend team; and ensure adherence to organizational process, best business practices, authority approval matrix levels, etc. (date management, vendor follow-up and performance, PO cycle time, PO and invoice accuracy, cost variance, on-time delivery, savings, payment terms, contract compliance, etc.). Work with other purchasing, logistics and accounting/finance organization leaders to ensure smooth operations across the entire procurement function. Collaborate with non-Purchasing departments in the development of initiatives, processes and procedures that ensures congruity of operational efficiency. Make data driven decisions to determine standard PO timelines for ongoing business. Identify process improvement opportunities for the indirect spend team. Implement purchasing strategies determined by the Sr. Director of Procurement and Supply Chain. Manage and assist in the career development of staff. Establish department performance metrics. Evaluate existing processes and undertake process improvement initiatives. Collaborate with Supply Planning Manager to continuously monitor, analyze, assist, and adjust inventory composition to balance best-in-class same day fulfilment with lean stock levels. Collaborate with internal and external stakeholders (including Buyers and Purchasing Agents) and suppliers to forecast, plan, and facilitate regular purchases. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Language Ability: Ability to read, analyze, and comprehend general business documents and technical procedures. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information in verbal, graphical, and written form. Excellent cross functional teamwork skills a must. Math Ability: Ability to apply standard mathematical principles to calculate totals, percentages, and statistical probability. Reasoning Ability: Highly analytical with the ability to define problems, collect data, establish facts, and draw valid conclusions from several abstract and concrete variables. Proactively identify problems and propose solutions in order to maximize customer fulfilment while minimizing stock levels and obsolescence. Computer Skills: To perform this job successfully, an individual should be proficient in Microsoft Office, with strong working knowledge of Word and excellent Excel skills. Strong working knowledge of ERP systems required. Knowledge of SAP preferred. Certificates and Licenses: APICS certification helpful. Current valid driver's license and the ability to obtain a passport for travel as required by position. Managerial Responsibilities: Directly manage associates and carry out managerial responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training associates; planning, assigning, and directing work; appraising performance; rewarding and disciplining associates; addressing complaints and resolving problems. Developing a team through coaching, counseling, and mentoring. Ensures effective communication within department and that the team follows-up appropriately. Inspires confidence and energizes and motivates associates across functional teams. The associate is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. While colorblindness is not disqualifying, the position will be required to create visualizations, dashboards, and graphics for customer consumption, tasks for which color blindness may present a significant obstacle. The associate is not substantially exposed to adverse environmental conditions.
