Summary The position serves as the Records and Information Management Specialist, located in the Office of Community Supervision and Intervention Services within Court Services and Offender Supervision Agency for the District of Columbia (CSOSA). CSOSA provides community supervision of adult offenders released by the DC Superior Court or the United States Parole Commission on probation, parole and supervised release in the District of Columbia. Responsibilities Oversees the creation, dissemination, research, storage, and disposition of OCSIS Supervision Case Files in an Electronic Data Records Management System. Responsible for sealing, setting aside, and expunging OCSIS records as ordered by the D.C. Superior Court. Staff will perform office automation work requiring the use of software applications and computer equipment, which results in greater efficiency of the Records and Information Management Unit. The Records and Information Management Specialists are expected to ensure customers, both internal and external, receive services as defined by the functions and responsibilities of the unit and Branch to ensure effective service delivery. Requirements Conditions of Employment Qualifications Time-in-Grade Requirement: Current or former federal employees who have held a GS position in the preceding 52 weeks, must meet the time in grade requirement. Time-in-Grade GS-7: Applicant must have served 52 weeks as a GS-05 or higher grade in Federal Service. Time-in-Grade GS-9: Applicant must have served 52 weeks as a GS-07 or higher grade in Federal Service You may qualify at the GS-07 level, if you fulfill one of the following qualification requirements: A. One year of specialized experience equivalent to the GS-05 grade level in the Federal service; Examples of specialized experience at the GS-05 level include assisting with the following: Ensuring records are maintained, disposed of, protected, disseminated, and retrieved within established guidelines; providing assistance, evaluation and inspections for agency records management programs; monitoring an electronic data system to record suspense's and provide notification of impending deadlines; establishing and managing both physical and electronic records and records filing systems in compliance with Federal records retention schedules; purging unused or non-record files eligible for disposal, archives, or retirement; conducting routine file searches to locate and distribute requested documents or information; establishing file indexes or inventories to facilitate the availability of stored information OR B. One full year of graduate level education or have a bachelor's degree from an accredited college or university with an accomplishing Superior Academic Achievement (Grade point average of a 2.95 or higher on a 4.0 scale or class standing in the upper third of the graduating class or major subdivision) or membership in a national scholastic honor society may be substituted to meet the specialized experience requirement. Note: Must provide copies of transcripts and supporting documents to include honor society membership if inducted. OR C. A combination of education and experience as listed above. You may qualify at the GS-9 level, if you fulfill one of the following qualification requirements: A. One year of specialized experience equivalent to the GS-07 grade level in the Federal service. Examples of specialized experience at the GS-7 level include the following: ensuring compliance with policies and retention schedules for records management, maintaining paper files and electronic record systems; and providing guidance on the storage and dispositioning of records. OR B. Two full years of progressively higher-level graduate education or Master's degree or equivalent graduate degree, may be substituted to meet the specialized experience requirement (transcripts required) OR C. A combination of education and experience as listed above. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Education ARE YOU USING YOUR EDUCATION TO QUALIFY? PASS/FAIL COURSES: If more than 10 percent of your undergraduate course work (credit hours) were taken on a pass/fail basis, your claim of superior academic achievement must be based upon class standing or membership in an honor society. GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours your graduate school has determined to represent one academic year of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.
