Responsibilities:

Your Role as a Receptionist:

As the Receptionist at Ossian Health and Rehabilitation, you will be the heart of our community, providing a warm and welcoming environment for everyone who walks through our doors. Youll be the primary access point for visitors, guests, and residents, ensuring that our facility runs smoothly and efficiently. Your responsibilities will include a variety of administrative and clerical tasks, as well as fostering a positive experience for our residents and their families.

Key Responsibilities:

  • Welcome Guests: Greet and assist visitors, residents, family members, sales representatives, and others, providing directions and information with a friendly and helpful attitude.

  • Communication: Answer phone calls, take messages, and deliver them promptly to the appropriate individuals. Manage the telephone and paging systems efficiently.

  • Mail Management: Sort incoming mail and process outgoing mail, ensuring timely and accurate delivery.

  • Administrative Support: Assist with various administrative duties such as typing reports and correspondence, filing documents, posting accounts, and maintaining organized records.

  • Financial Transactions: Disburse resident fund petty cash and provide receipts for payments made to the facility. Assist with the accounts payable process to support our financial operations.

  • Office Maintenance: Maintain the front office and lobby area, ensuring a clean and welcoming environment. Take inventory of office and central nursing supplies, place orders, and distribute them as needed.

  • Resident Support: Assist in listening to and reporting resident and family complaints to ensure prompt resolution and enhance resident satisfaction.

  • Additional Tasks: Ensure prompt pickup of deliveries, provide meal tickets for employees and guests, and maintain the confidentiality of all residents and their care at all times.



Qualifications:

Receptionist Qualifications

  • Required Qualifications:

    • A high school diploma or GED.
    • Thorough understanding of the principles of best receptionist practices.
    • Proficiency in using personal computers, e-mail accounts, and software programs such as Word and Excel.
    • Ability to operate minor office machines such as faxes and copiers.

  • Desired Qualifications:

    • At least six (6) months of experience in a clerical position or successful completion of a secretarial science program from an accredited school/college.
