Turk & Hillinger USA, Inc., a global leader in electrical heating elements located in Brecksville, Ohio,is seeking a full-time Bookkeeper/Office Administrator to join our team. With a rich history spanning over 60 years, our commitment to innovation, competence, and reliability is a testament to our dedicated staff. Spanning our global network of facilities, we distribute over 70,000 electric heaters daily, supplying components to various industries across multiple locations.

As part of our team, the Bookkeeper/Office Administrator will play a pivotal role in the day-to-day operations and bookkeeping tasks for our domestic sales office, contributing to our continued growth and success. We are looking for a candidate with proven accounting experience, a strong work ethic, and a passion for meeting deadlines in a small office environment.

Essential Responsibilities:

Bookkeeping:
  • Maintain accurate and up-to-date financial records using accounting software.
  • Process accounts payable and accounts receivable transactions.
  • Reconcile bank statements and credit card transactions.
  • Prepare financial reports, including profit and loss statements and balance sheets.
  • Assist with budgeting and forecasting as needed.
  • Manage vendor applications, ensuring timely completion and submission of required documentation.
Office Administration:
  • Answer phones, greet visitors, and provide general administrative support.
  • Manage office supplies inventory and place orders when necessary.
  • Organize and schedule meetings and appointments.
  • Assist with travel arrangements for staff, if required.
  • Handle incoming and outgoing mail and shipments.
  • Assist in organizing tradeshows, including coordinating logistics, booth setup, and promotional materials.
Inventory Management:
  • Oversee inventory levels and maintain accurate inventory records.
  • Conduct regular inventory counts and reconcile discrepancies.
  • Monitor stock levels and place orders for inventory replenishment.
  • Coordinate with vendors and suppliers to ensure timely delivery of inventory.
  • Prepare reports on inventory turnover, stock levels, and order fulfillment.
Order Management:
  • Process purchase orders and sales orders accurately and efficiently.
  • Coordinate with internal teams and external partners to fulfill orders on time.
  • Generate invoices and packing slips for outgoing orders.
  • Prepare shipping documents and coordinate shipments with carriers.
  • Follow up on order status and resolve any issues or delays.
Other:
  • Performs other related duties as assigned.
  • Daily tasks are varied throughout each workday.

  • Knowledge of inventory management principles and practices.
  • Having some knowledge in social media to contribute to increasing our social media presence is preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
Education and Experience:
  • 3 to 5 years' experience as a Bookkeeper/Office Administrator or similar role.
  • Bachelor's degree in accounting, finance, or a related field (preferred).
  • Experience with QuickBooks is necessary, QuickBooks Pro certification is desired.
  • Proficient in MS Office applications.
Essential Physical Requirements:
  • Must have the ability to package, prepare and process shipments.
