JOB SUMMARY:

The Facilities Coordinator will work closely with the Facilities department, to support all facilities operations. This person will be responsible for all admin tasks, gathering information, maintaining accurate data and managingfor the custodial, operations, grounds, tech services, and engineering departments at the Delta Center. Our coordinator will manage office functions including: Work Order coordination, access assignments, maintain daily office operations, coordination of budgeting/inventory systems, maintaining office records, and providing general support services for the divisional staff. Additionally, under the supervision of the SVP of Facilities in coordination with the VP of Tech Services and Facility Operations, this position will manage all outside contractors supporting the Facilities department. This includes maintaining records and contracts, coordinating project activities, and providing scheduling support.

DUTIES & RESPONSIBILITIES:
  • Receives, manages, and processes work order requests; ensures problems are resolved quickly and report completed work orders to the requesting party
  • Acts as liaison between employees and any outside contractors needed to resolve specialized problems
  • Builds an inspection process to identify compliance and safety issue, and create appropriate work orders
  • Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments
  • Gather daily reports from supervisors on various shifts
  • Drafts and implements preventive maintenance schedules for buildings and equipment
  • Maintains inventory of supplies; reorders as needed
  • Process accounts payable transactions, including maintenance of reports and spreadsheets
  • Track labor costs for each shift in the departments
  • Assist in pulling and building labor reports for temp workers, part time and full time staff
  • Coordinate staffing through temp agencies
  • Facilitate reconciliation of temporary worker invoices
  • Prepare employee schedules and monitor attendance on the time management system
  • Validate employees have submitted hours correctly and approve timesheet on ABI
  • Maintain a record of leave requests and time used/available for department staff
  • Maintain GBAC certification up to date
  • Track and process utility bills and consumption

QUALIFICATIONS:
  • Must be at least 18 years of age
  • Experience with Microsoft Excel, Word, Outlook and Google Suite
  • Basic data entry and computer skills
  • Relevant math and billing experience
  • Previous operational experience preferred
  • Auditing and reporting derived from time and attendance system
  • Availability and willing to work flexible hours, including evenings, weekends, and holidays
PHYSICAL DEMANDS:
  • This person must be able to communicate and express themselves both written and verbally
  • This person must be able to observe, inspect, estimate, and assess
  • This person must be able to sit, stand, bend, walk, and climb stairs for long periods of time
  • This person must be able to lift 20 lbs
