Nexus-Kindred is looking to add an Licensing Coordinatorto join our team This will be a remote position supported out of Minnesota.
Nexus Family Healing is a national nonprofit network of mental health agencies with over 50 years of restoring hope for thousands of children and families through outpatient/community mental health services, foster care, adoption, and residential treatment.
Position Summary:
Our Licensing Coordinator will support the Agency and Social Workers by processing licensing and recruitment paperwork, submitting documentation and answering client questions about the licensing process. This position prepares, reviews, and submits all licensing and relicensing documentation according to compliance and regulatory guidelines.
Primary responsibilities:
- Tracks and maintains prospective foster family information and details; ensures timely follow-up, follow-through, and communication with families throughout the recruiting and licensing process.
- Prepares all application, licensure and documentation forms and materials required for the compliant processing of new licenses for foster families, according to regulatory guidelines.
- Supports the licensing and application process for newly assigned foster parents ensuring complete compliance with regulatory agencies and guidelines.
- Facilitates, supports, and assesses the licensing application process for new applicants.
- Tracks maintains and processes the relicensing process for Nexus clients and families.
- Attends sponsored trainings related to foster care licensing requirements as assigned; assimilates and applies learnings and training information into core functions of the Licensing Coordinator daily work.
- Ensures all licensing and accreditation requirements are documented and communicated to Social Workers.
- Facilitates the tracking, data, and progress reporting for metrics within the licensing function and role.
- Provides ad-hoc administrative support including attending meetings, providing training to support staff, and answering licensing questions from applicants.
- Professionally and courteously answers incoming calls and forwards calls to the appropriate party; screens incoming calls, records messages and retrieves messages off the voice mail system from the main number.
- Operates and maintains all office equipment including copiers, fax machines and phones; ensures a sufficient supply of paper, toner postage etc. is available for all office equipment.
- Provides data entry, database assistance and other related clerical and administrative assistance as requested by Regional and/or Operations Directors.
- Verifies bills from third party vendors; submits invoices to accounting for payment, in a timely manner.
- Participates in staff, supervision and required agency and departmental in-service meetings.
- Understands and supports the Nexus Mission, philosophy, and treatment modality.
- Demonstrates confidentiality toward treatment and service information in recruitment, licensing, onboarding, and communications with families and agency coworkers.
- Provides timely, objective, and thorough information and communication to supervisor and staff regarding licensing work.
- High School Diploma required.
- 3 years of office experience required.
- PC Literacy and Microsoft Office experience (Word & Excel) required.
- Proficiency in and ability to operate and maintain office equipment (Copiers, faxes, phones, scanners, mail machines etc.).
- Working knowledge and understanding of standard electronic filing techniques that support regulatory, security, confidentiality, and seamless retrieval.
- Experience working with Electronic Health Records software preferred.
- Word processing/typing skills of a minimum of 45 words per minute (wpm) preferred.
