Position Overview

Under direct supervision of the Enrollment Director, the Enrollment Research Specialist is responsible for researching incoming enrollment applications, descendant applications and other Enrollment related request. They are responsible for maintaining all Department of Enrollment records.

Essential Functions

  1. Ensures confidentiality of all tribal member records and issues pertaining to tribal enrollment.
  2. Provides support and assistance to the Enrollment Director, Enrollment Committee, Nasharo Council, and Pawnee Business Council throughout the process of reviewing applications for Pawnee tribal enrollment.
  3. Responsible for thoroughly and accurately researching enrollment applications and determining if applicants are eligible or ineligible for enrollment.
  4. Must be able to accurately calculate and understand fractions and percentages and other tasks related to research.
  5. Knowledge of general office ethics, procedures, policies, and regulations as they relate to the Enrollment Department.
  6. Ability to work responsibly and efficiently with minimal supervision to accomplish daily tasks assigned,
  7. Skills in basic office work, including filing, typing, data-entry and organizing work.
  8. Ability to communicate clearly, accurately, and efficiently to accomplish tasks and goals.
  9. Ability to handle difficult situations on a daily basis which require effective organization and problem-solving skills.
  10. Ability to remain organized in a demanding work environment.
  11. Provides customer service by assisting applicants and tribal members seeking assistance with tribal enrollment matters, answers telephones, receives visitors and provides information as required.
  12. Maintains up-to-date Pawnee Nation tribal enrollment records, including the daily upkeep of electronic membership records, fact-checking against historical hard-copy records when necessary, and assisting the Enrollment Director with the timely resolution of any discrepancies in enrollment information.
  13. Assists with the annual process of disbursing annuity checks to enrolled Pawnee Tribal members.
  14. Provides verification of membership status, birth dates, and Certificate of Degree of Indian Blood, as requested by Pawnee Nation tribal programs and various entities for the purpose of identification, verification, and provision of services.
  15. Ability to communicate/work well in a team environment to accomplish tasks and goals.
  16. Assist with other duties, as assigned and within the scope of the position.
Minimum: High school diploma or GED.

Preferred: Associates Degree in Business Administration or related field; or,

One (1) year of business school or Vo-Tech training in Clerical Office Management or Administrative Assistance.

Experience Requirements

Minimum: One (1) year of general office experience, typing, filing, data entry, answering phones and working with the public.

Preferred: Two (2) years of general office experience, typing filing, data entry answering phones and working with the public.

Qualifications

Knowledge, Skills, & Abilities

Computer:
  1. Proficiency in Microsoft applications, particularly Word, Excel, Outlook, Internet Explorer, etc.
  2. Ability to learn Progeny ES Tribal Enrollment Software.
  3. Must demonstrate strong computer data entry skills.
Communication:
  1. Excellent customer service, public relations, and communication skills.
  2. Ability to establish and maintain professional relationships with Pawnee Nation employees and tribal members, as well as representatives from external agencies Indian tribes/nations.
  3. Ability to foster team effort and cooperation with co-workers and supervisors in a professional manner.
  4. Ability to relate and work with the Indian and Non-Indian communities.
  5. Skilled in the use of business communications (proper spelling/grammar).
Miscellaneous:
  1. Ability to pass a background screening.
  2. Must be able to calculate and understand fractions and percentages.
  3. Knowledge of general office practices.
  4. Must demonstrate strong organizational skills, with the ability to prioritize.
  5. Ability to meet deadlines, adapt to changing priorities, and work well under pressure.
  6. Ability to work under tight time constraints.

Physical Demands

While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently, is required, to stand; and walk. The employee occasionally is required to stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment

Work is performed in an office setting with a moderate noise level. Evening and/or weekend work is at times required. Occasions may arise requiring work outdoors where exposure to natural weather conditions may occur. There is regular interaction with the public, other agencies, and employees. Tight time constraints and multiple demands from, several people are common. Travel may be required, for training, meetings, conferences, presentations, and other events.
