Duties & Responsibilities:

  • The Document Control Security Administrator will be responsible for managing and safeguarding sensitive documents and information in accordance with federal regulations and company policies. This role is critical to ensuring the integrity and security of our documentation processes and maintaining compliance with security protocols.
  • The Document Control Security Administrator shall maintain information within databases that reflect receipt, storage, inventory, and disposition of information including data entry, updates, and generation of reports.
  • Maintain and document personnel security accesses, to include databases for SAP and SCI personnel, and conduct indoctrination and debriefings as required.
  • The Document Control Security Administrator will assist in reviewing customer security regulations and procedures; facilitate implementation within assigned work areas/technology offices.
  • Assist with implementing the Security Education, Training and Awareness program, and develop security education bulletins, directives, security plans, procedures and controls as required.
  • The Document Control Security Administrator will prepare and protect security files, records, and other information.
  • The Document Control Security Administrator will execute personnel security functions associated with the SAP Nomination Process (SAP NP). Process SAP NP forms and Program Access Requests (PARs) within seven business days of receipt. Ensure SAP NP forms and PARs requiring SAPCO coordination/approval are staffed to a SAPCO Senior SA with supporting justification within seven business days of receipt.
  • The Document Control Security Administrator will update JADE within three business days of receipt of an approved PAR and within one business day of a completed indoctrination to a SAP compartment.
  • Perform entry, exit, visitor processing, and escorting for day-to-day operations, as well as conferences hosted in the DARPA Conference Center or other mutually supported facilities.
  • Conduct end-of-day security checks and perform other security administrative functions as required.
  • The Document Control Security Administrator will provide day-to-day access control management of supported facilities and maintain supported facilities and conference rooms.
  • Coordinate with other DARPA security offices, organizations, and personnel in support of mission requirements.
  • Perform file and calendar management functions as needed.
  • The Document Control Security Administrator will prepare a wide variety of recurring and non-recurring correspondence, reports, and other documentation.
  • Establish, update, and develop inclusive administrative office processes and procedures.
  • The Document Control Security Administrator will gather information, verify facts, and assemble background materials, reference material, and reports in support of assigned office security staff.
  • Conduct proofing/editing for written products to ensure DoD and DARPA format compliance.
  • For select positions, maintain and follow-up on suspense records for coordination, action, or suspense dates.
  • For select positions, schedule and track calendar appointments, meetings, and travel, to include use of the Defense Travel Service (DTS) System.
  • For select positions, support the coordination of executive correspondence/products to resolve issues/obtain concurrence for planned actions, and execute guidance on the appropriate course of administrative action.
  • Collects and protects personal identifiable information (PII) IAW PII and Privacy guidelines.
  • The Document Control Security Administrator will review background information prior to an individual's information for final adjudication submission. This includes determining:
    • The suitability of personnel for clearances and processing personnel for personnel security clearances by the collection of personal history data.
    • The review of the information collected, the coordination of appropriate background investigations with appropriate agencies, and the maintenance of personnel security files.
    • The review of completed case files and Personnel Security Questionnaires (PSQ's).

  • Updates appropriate personnel database(s), handles phone inquiries, and protects the dissemination of adverse information reports.
  • Composes, analyzes, edits, QC, transmits, and tracks security requests and inputs data into appropriate personnel database(s).
  • Conduct liaison with CAFs, DoD, and IC agencies to coordinate clearance issues.
  • Update account authorizations for the appropriate personnel database(s).
  • Other duties as assigned.

Knowledge, Skills and Abilities (KSAs):

  • Excellent organizational and communication skills.
  • Strong attention to detail and the ability to handle sensitive information discreetly.
  • Proficiency with standard office software and security-related applications.
  • The Document Control Security Administrator may be tasked with security management of their SCIF/SAPF, must also have experience in the day-to-day security operation of these facilities.

Minimum Experience and Education:

  • High School diploma + 5 years' experience specifically related to supporting classified programs.
  • Must have a history of demonstrated successful experience in performing document control activities
  • Must have experience in the day-to-day security operation of SCIF/SAPF facilities.
