Position Summary:

Under the supervision of the HIM manager of Health Informatics the scanning specialist assures scanned documents are accurate, complete and accessible to all end users. Assures all users are set up with appropriate permissions for viewing and/or electronically signing scanned medical records documents. Scanning Specialists also provide telephone and clerical services to the Health Informatics department.

Location: West Center Street, West Bridgewater, MA

Department: BH Health Informatics

This is a full-time 40 hour/ week position

Responsibilities:
  • Collects and Scans all documentation from all areas.
  • Performs final QA of scanned documents to assure documents account number and name matches the records; assigns the correct document name; forms are in the record are in correct date order and right side up.
  • Tracks down correct demographics that do not come down marked correctly which entails speaking with staff to team problem solve why this occurs and coming to a solution to prevent from missing documentation. Sending documents back to areas to correct prior to going into the record permanently.
  • Destroys records weekly in a shred it container.
  • Provides services to all clinical areas to locate documentation needed for continuation of care.
  • Preps, scans and checks at a minimum 1000 pages daily.
  • Sorts and scans loose paper that arrives in the department daily to assure loose medical records forms are matched with the patient's records for permanent filing.
  • Answers all phone calls in the HIM department for Health Information matters and.
  • Transfers calls when needed for appropriate action.
  • Works with doctors to provide Information needed for continuation of care for patients.
  • Instructs patients with documentation to amend their record if a patient feels the documentation is incorrect.
  • Safeguard patient privacy and confidentiality at all times.
  • Is able to multi-task daily to ensure all scanning is done timely.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.

  • Functions within narrow guidelines of hospital and department policies and procedures.
  • Understand HIPAA guidelines.

  • Basic computer knowledge and typing skills.
