JOB GOAL
  • Schedules Special Education and assists with Regular Education busing.
  • Revises all bus rosters and keeps contact with the bus drivers to ensure that they are updated correctly.
  • Administers the scheduling and operations of district vehicles.
  • Manages employees' driving record information.
  • Keeps record of employee leave and submits weekly reports to the payroll department.
  • Assists the Transportation Administrative Assistant in documenting bus complaints
  • Maintains Per Capita Bus Feeder budget and reimbursement information.
EDUCATION AND EXPERIENCE:
  • High school diploma or general education degree (GED)
  • College hours in business preferred
  • Experience and knowledge of customer service
  • Experience and knowledge of state and district special education IEP procedures/regulations are required.
  • One year of related experience in a school office is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Issue busing information and bus passes to all new students, or to students that have a change of address:
  • Look up the address on the atlas/map and find out what bus number is in that area.
  • Prepare bus passes for students.
  • Make a copy of the busing information for parents.
Assign busing for Special Education students which includes the following duties:
  • Look up the address on the map then find out what bus number is in that area.
  • Contact the bus driver to be sure the pick-up and drop-off times are accurate.
  • Inform the bus driver of any changes to the roster.
  • Contact the school and notify them of students busing information or bus roster changes.
  • Maintain records on all Special Education bus students' information.
  • Sets up substitutes when Special Ed bus drivers and aides are absent.
Assign busing for McKinney Vento students which includes the following duties:
  • Look up the address on the map then find out what bus number is in that area.
  • Contact the bus driver to be sure the pick-up and drop-off times are accurate.
  • Inform the bus driver of any changes to the roster.
  • Contact the Equity Department to notify them of bussing information.
  • Maintain records on all McKinney Vento bus students' information.
Revise bus rosters:
  • Distribute copies of rosters to each bus driver for revisions.
  • After rosters are received from bus drivers, enter, and delete new names.
  • Distribute revised bus rosters to drivers for confirmation.
Schedule and issue out vehicles for activity trips
  • Manage Trip Tracking software for all District activities.
  • Assists with providing quotes for activity trips.
  • Set up and train new users.
  • Coordinate with Contractors to schedule field trips when needed.
  • Report vehicle inspections to Maintenance.
  • Assist with broken-down buses or vehicles. Coordinate with the Maintenance Director and Mechanic to either fix the bus or vehicle or send a replacement.
  • Keep records of contracted trips and rotation schedules.
  • Track hours for all activity drivers to evenly distribute trips.
  • Manage employee driving record checks
  • Review staff members' files to make sure that driver's record checks are updated yearly.
  • Send out memos to those who have expired licenses, physicals, or insurance.
  • Keep a record of all employees' driving record information on a spreadsheet.
  • Check that all documents are returned and filed.
CDL Compliance/Drug Screens
  • Keep records of all CDL drivers and coordinate random drug screens with the District vendor.
  • Report any positive results to the Federal Motor Carrier Safety Administration.
  • Conduct annual inquiries for the Drug and Alcohol Clearinghouse Database.
Manage Database for CDL Trainer and Examiner with the Federal Motor Carrier Safety Administration
  • Administrator for the District's Training Provider Registry through FMCSA for any CDL Drivers trained by the District Trainer.
  • Enters information for the District CDL Examiner into the registry.
Employee Training
  • Coordinates with trainers to provide training for First Aid/CPR, SBDI/SUV training
  • Coordinates with bus staff and Human Resources to provide training for bus assistant substitutes
Manage absentee reports
  • Keep a record of employee leave.
  • Find substitutes for sick bus drivers and bus assistants (Must be available at all times).
Manage Frontline of Transportation staff members
  • Check the accuracy of substitute bus driver and substitute bus assistant time input.
  • Manage and schedule substitutes in the Frontline application.
Bus complaints
  • Write down information on bus complaint forms.
  • Distribute bus complaints to the Director of Transportation.
  • Call parents and notify them of action taken regarding their complaint then; follow up with a letter.
Manage per capita bus feeder
  • Run absence reports for per capita bus feeder students from schools monthly.
  • Calculate vouchers and submit them to Accounts Payable.
  • Record the amount they will receive in the database.
  • Inform bus feeder applicants of insurance expirations.
  • Performs related duties as required.
