How you will make an Impact (Job Summary)

SPX is a diverse team of unique individuals who all make an impact. As a MCT Construction Coordinator, you will play a pivotal role in ensuring the smooth operation of our projects by handling critical administrative tasks and maintaining precise documentation. Your efforts in administering vendor relations, fleet management, and logistics will enhance operational efficiency. Additionally, by supporting onboarding, tracking employee training, and collaborating with HR, you will contribute to a well-organized and compliant workforce, ultimately driving project success.

What you can expect in this role (Job Responsibilities)

While each day brings new opportunities at SPX, your core responsibilities will be:

  1. Submittals and Tracking:
  • Manage the preparation, submission, and tracking of SWO (Supplemental Work Order) submittals
  • Ensure accurate documentation and resolve any submission issues promptly
  • Assist CM with entering and verifying correct rates in tracking systems
  • Maintain weekly BTT (Budget Tracking Tool) logs and generate reports

2. Invoice and Receipt Submission:

  • Track, code, and submit purchase card receipts and fuel receipts.
  • Invoice coding in ReadSoft
  • Track and reconcile project invoices, ensuring timely and accurate payments
  1. Vendor and Fleet Management:
  • Maintain vendor logs by region, handle account setups, and resolve issues
  • Manage a small fleet of trucks and trailers, including maintenance and record keeping
  • Arrange for printing, shipping and receiving construction documents
  • Work with Safety Dept. to set up local occupational medicine services and pre-employment drug testing

4. Employee and Project Support:

  • Assist with onboarding, track training schedules, and maintain training records
  • Maintain active project lists with assigned staff and updated schedules
  • Process transfer paperwork for permanent employees when they change projects
  • File and audit employee records for completeness and compliance
  • Collaborate with HR to address field employee questions and payroll issues
  • Payroll review and submission in Dayforce system
  • Maintain National Maintenance Agreement forms and submit hours
  • Review tool lists, track costs per project, and prepare cost analysis reports

Required Experience

  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Excellent attention to detail for accurate data entry and documentation
  • Effective communication skills, both written and verbal
  • Ability to work independently and as part of a team, showing initiative and reliability
  • Ability to maintain confidentiality and handle sensitive information with discretion

Preferred Knowledge, Skills, and Abilities

  • 1-3 years of experience in the construction industry, or relavent experience
  • Knowledge of union policies and procedures
  • Proficiency in Microsoft Excel, Word, Outlook, and other relevant software such as MicrosoftProject, SAP, and Dayforce

Education & Certifications

  • High school diploma or equivalent required
  • Associate's degree preferred

Travel & Working Environment

  • Onsite office environment, Monday - Friday; Hybrid work schedule after satisfactory completion of probationary period.
  • The position may require working occasionally outside of normal working hours
  • Periodic travel to support job sites, up to a two-week period
  • Occasional lifting up to 50 pounds
  • Keyboarding/typing
  • Ability to read effectively from a computer screen and/or a paper copy
  • Ability to handle a large volume of work and perform multiple tasks in a fast paced environment
  • Ability to communicate effectively verbally
