Job Title: Accounts Payable Specialist

Vaco is partnered with a great company looking to add an AP Specialist to their Louisville, KY onsite team.

Job Summary: The Accounts Payable Specialist is responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices and payments, and maintaining vendor relationships. This role plays a critical part in maintaining the financial health of the organization by accurately recording and managing payables.

Responsibilities:

  1. Receive and process invoices from vendors, ensuring accuracy and completeness of documentation.
  2. Match invoices with purchase orders and receiving documents to verify pricing, quantities, and terms.
  3. Code invoices with appropriate general ledger account codes and cost centers for proper allocation.
  4. Enter invoices into the accounting system for payment processing.
  5. Prepare and perform weekly or monthly payment runs, including checks, ACH payments, and wire transfers.
  6. Reconcile accounts payable transactions and resolve discrepancies with vendors or internal departments.
  7. Review and process employee expense reports for reimbursement, ensuring compliance with company policies.
  8. Maintain vendor files and respond to vendor inquiries regarding payment status and discrepancies.
  9. Assist with month-end close activities, including accruals and reconciliations.
  10. Generate accounts payable reports and provide analysis as needed.
  11. Assist with audits and provide support for internal and external auditors.
  12. Stay current with changes in accounting regulations and best practices related to accounts payable processes.

Qualifications:

  1. 2-3 years of experience in accounts payable or related accounting roles.
  2. Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.
  3. Strong attention to detail and accuracy in data entry and processing.
  4. Excellent organizational and time management skills to prioritize workload and meet deadlines.
  5. Ability to communicate effectively with vendors, internal stakeholders, and team members.
  6. Knowledge of accounting principles and practices related to accounts payable.
  7. Ability to work independently and collaboratively in a fast-paced environment.
  8. Experience with process improvement initiatives and system implementations is a plus.
  9. Professional certification (e.g., Certified Accounts Payable Professional) is desirable but not required.
