Position Purpose: As the direct point of contact for both internal and external customers, the Service Coordinator is responsible for directing and supervising the daily activities of the Shop Service staff, with the goal of ensuring customer satisfaction through timely and accurate completion of repair and maintenance work orders. Essential Job Functions: WORK ORDER ADMINISTRATION Processing paperwork from In-Box daily: Job Jackets Notes Invoices Parts returns PREPPING WORK ORDERS Coding vendor invoices in a timely manner for the accounting department Keying vendor invoices into internal and external work orders Interpreting and entering mechanic notes daily for field jobs & shop when needed Summarize mechanic notes for customer invoice (cause, complaint, correction) Ensure labor notes, etc. are correct from the labor sheets Deduct parts returns from open work orders as submitted to maintain accurate inventory. Code and submit expense reports for employee reimbursement. Post to work orders Obtain Purchase Orders for customer billing on jobs where one is required. Invoice work orders & mail to customers Other Service Administration Assist with the scheduling of shop & field service work and assign technicians to specific jobs. Demonstrates continuous effort to improve operations, quality control and increase customer satisfaction. Notifies the status of current jobs for the sales and rental department, along with activity updates to management. Assist the service manager with recruitment, interviewing and hiring of new Service technicians. Perform other duties or assignments given by the service manager. Education and/or Experience: High School diploma or equivalent Heavy Equipment Industry preferred. Technical Service Writing experience preferred. Physical Demands: Standing, walking, talking, sitting, and use of hands. This job mostly involves sitting or standing, but there may be occasional tasks that involve lifting or moving objects weighing up to 25 pounds. Computer Skills: To perform this job successfully, an individual must be proficient utilizing computers including Microsoft Windows, Microsoft Office Suite, Microsoft Internet Explorer and general laptop or desktop computer use. Advanced technical software application understanding with relevant industry experience.
