QUALIFICATIONS:

REPORTS TO: Executive Director of Teaching and Learning

JOB GOALS:
To coordinate and manage the testing and information systems for the district. Ensure efficient and effective access to information by all campuses and administrative departments including the collection, collation and reporting of all pertinent student and staff data required by state, federal, and local agencies; to be responsible for EMIS data reporting, the completion of all federal, state and district testing and to maintain accurate district-wide data entry and reporting of data.

PERFORMANCE RESPONSIBILITIES:
  • Coordinate systems and procedures for efficient data reporting throughout the district regarding special education, testing, student programs, grades, credits, summer school, special circumstances, out-of-district students, career-technical data, etc.
  • Interpret EMIS reporting procedures for the district and maintain a system of accountability for data reporting.
  • Assists with the implementation of staff development in the area of information management, data analysis, decision-making, etc; make presentations as needed.
  • Coordinate training and assist building secretaries, administrators, and data users to ensure a thorough knowledge of EMIS requirements and accuracy of data being entered.
  • Assists with the development and coordination of the continuous evaluation of information services and implements changes based on the findings.
  • Design, create and maintain custom reports and data visualizations to meet specific information needs of end users and as directed by the Superintendent or designee.
  • Serves as the district testing coordinator; overseeing all building testing coordination and administration and ensuring all federal, state and local requirements are met including but not limited to timelines and testing windows, test security and ethical test usage.
  • Meets with the various departments and building administrators to review the accuracy of data prior to submission.
  • Reviews preliminary data with any and all departments reporting local, state or federal data to identify discrepancies in reported data.
  • Maintains archival records as required to meet state and local needs.
  • Coordinates the enrollment process with the welcome center for EMIS reporting purposes.
  • Assists human resources and the payroll department with the verification of staff certification information for EMIS reporting.
  • Oversee the timely submission of reports, records and inventories and ensure all required reports meet mandated deadlines as established by state and federal agencies.
  • Works with the Treasurer's Office to maintain and monitor the accuracy of tuition students, college credit plus students and those students that we are responsible for that are educated outside of the school district.
  • Reviews and maintains SSID (State Student Identification) validation reports, contacting other districts to resolve issues that affect funding flow.
  • Maintains data for all students that are open enrolled out of district through the EMIS reporting data. Verifies addresses and other information to reduce costs to the district. (all open enrollment billing information is now collected by ODE through the EMIS reporting system).
  • Run regular EMIS uploads to progress monitor data and troubleshoot errors.
  • Attend user meetings on a regular basis.
  • Other duties as assigned by the Superintendent or designee.

TERMS OF EMPLOYMENT:
Twelve (12) month, 260 day contract with salary as established by the Board in terms of the Administrative Provisions and based on experience and qualifications.

ADDITIONAL WORKING CONDITIONS:
  • Occasional exposure to blood, bodily fluids and tissue.
  • Excellent observation and communication skills.
  • May perform strenuous tasks, such as lifting, when working with students.
  • Assisting students with behavioral/management needs.
  • Frequent evening and/or weekend work.
EVALUATION:
Performance of this job will be evaluated in accordance with provisions of the Administrative Personnel.
