Position Summary

The Family Programs Intake Specialist will assist individuals and families in crisis who are applying for emergency services assistance, Emergency Shelter Placement (ESP), Coordinated Entry System (CES) and seeking community referral information.

Major responsibilities and related tasks

Promptly and accurately screen clients for eligibility for financial assistance, assisting those eligible to prevent utilities cutoff or eviction using the current Emergency Services guidelines. Connect families who report being unhoused with internal and external resources for shelter, including mediation with family
  • Complete the intake application promptly and accurately, completing all required forms to ensure that that client services are effective, timely, and meet all grant compliance procedures
  • Secure all documentation needed to complete the intake in a timely manner for assistance processing
  • Verify that clients are eligible for the appropriate assistance by securing documentation of need and other required documents, verifying the validity of the information given by the client by written and/or collateral contact with the third party as needed
  • Collaborate with outside sources on behalf of clients, such as MLGW, landlords, mortgage holders, shelter providers, schools, and other agencies as needed
Input client information into the CoactionNet database to prevent interruption of utility services or eviction and track shelter placement and referrals
  • Maintain client information in a secure file, ensuring that confidential information is secure
  • Enter client data into the computer accurately daily and timely to generate requests for assistance payments and referral to emergency shelter and other programs
  • Upload client documents into database
  • Check MLGW accounts, tax assessor records, W-9, and vendor information for accuracy
Engage and communicate with a diverse population of individuals and families in crisis to provide customer service.
  • Check email and voicemail in a timely manner to ensure client services are completed effectively
  • Provide professional and helpful customer service by providing appropriate referrals to community resources to ensure that clients get the services they need
  • Troubleshoot, seek out errors, and monitor database entry accurately
  • Contact local area food pantries to verify food availability and hours of operation
  • Provide available food pantry information when requested by client(s)
Operate and respond courteously and promptly the phone line for Emergency Services Help Desk and serve as back-up in processing applications for families seeking assistance through the ESP program
  • Answer all calls and email messages daily and return messages on the help desk line.
  • Manually input ES applications for clients who have no computer access, as needed
  • Review ESP Applications and return calls to families who report needing shelter.
  • Conduct assessments and direct family to appropriate internal and community resources
  • Enter families seeking RRH in CES System as appropriate
Serve as the primary person to monitor and check the on-site document drop box ensuring relevant documentation is retrieve promptly and routed appropriately
  • Check drop box a minimum of two times per day
  • Ensure all documents received are given to the correct intake specialist either in person
  • Assist with ESP/CES process in the event of staff shortages, uptick in applications, or as needed
Requirements

Qualifications
  • Associate's degree or two years' post high school education
  • Two years of office or customer service experience
  • Two years of experience in a social service environment, preferred
  • Proficient with various communication systems (computers, email, net books, telephones, scanners, etc.), and software (Microsoft Office: Outlook, Word, Excel, and various database systems)
