Front Desk Receptionist

The role of the front desk receptionist is to greet customers (candidates and clients) that visit the office. It also involves answering all incoming phone calls to the office, along with providing administrative support to the overall office.

Schedule: Monday Thursday, 8 a.m. to 5 p.m., Friday, 8:00 a.m. to 4 p.m.

The job responsibilities of this role include, but are not limited to, the following:

  • Greet customers (candidates and clients) that visit the office.
  • Answer phones and emails
  • Assist candidates with tasks and provide information to recruiters
  • Assist and coordinate for/with recruiters, BDs, clients, and candidates
  • Manage a shared document system for the office
  • Distribute mail/packages
  • Post on social media at least twice a week
  • Complete background checks and drug screen authorizations
  • Send out messages to vendor screening companies to create new packages
  • Facilitate, file, and send out onboarding paperwork
  • Manage the onboarding process and keep BDs and recruiters in the loop with status updates as needed (minimum 3x/week)
  • Complete follow up WOTC tasks as needed
  • Finalize candidate onboarding in Paycom
  • Manage and coordinate the company calendars to ensure we are not double-booking space
  • File, scan, and send documents for OESC/DHS
  • Regularly audit company website to ensure job posting accuracy (every 2 weeks)
  • Send placement sheets for each new contract candidate start weekly
  • Keep phone extension sheet updated
  • Complete an office supply inventory every 2 weeks
  • Bring new ideas to owners of company about systems, processes, filing, etc.
  • Prepare interview preps and job start confirmations
  • Provide excellent customer service and maintain a professional appearance
  • Provide back-up support to other administrative staff
  • Help maintain a clean and organized work environment across the break room and conference rooms.
