Job Description:We are currently seeking a Receptionist/Assistant Travel Coordinator.
Job Summary:
We are looking for someone to assist with company travel arrangements and front desk responsibilities.
Responsibilities include but are not limited to:
- Assist Travel with duties to include checking and booking flights, hotels, and car rentals for domestic travel for company personnel
- Assist executives with by entering and monitoring travel expense reports in Oracle iExpense.
- Greet visitors entering the lobby
- Assist visitors by arranging for escort within the facility as needed
- Monitor visitor movements in and out of facility
- General administrative and clerical support
- Receive incoming mail
- Answer telephone in a professional manner, screen, and direct calls, take and relay messages
- Prepare FedEx packages/envelopes and or courier service for executives
- Reserve assigned meeting rooms via Outlook
- Tidy and maintain the reception/lobby area
- Shop for kitchen supplies; snacks, drinks, paper plates, etc.
- Maintain kitchen cabinet/refrigerator by keeping well stocked
- Occasional need to arrange for catering and setup breakfast and lunches for meetings. Includes preparing tables in executive kitchen when requested. Occasional late evening when dinner meetings are requested
- Keep conference rooms and kitchen tidy
Qualifications:
- AA degree required
- Prior experience as a travel agent and with booking domestic travel in a business environment
- Concur online booking experience
- Talent for best practices in online travel research and finding travel deals
- Prior experience an office assistant in a professional environment
- Knowledge of administrative and clerical procedures
- Experience with booking domestic travel in a business environment
- Knowledge of computers and relevant software applications (Word, Excel, etc)
- Knowledge of customer service principles and practices
- High level of discretion and decorum
- Must have outstanding verbal and written communication skills

Targeted pay rate is $26.50
