Description

POSITION SUMMARY:

Responsible for scheduling medical patient appointments, registering patients arriving for appointments and eligibility interviews. Includes the accurate collection and record-keeping of payments received for services rendered in the clinic, as well as updating patient information as needed in the patient management and electronic health record system. Manage the patient access department in absence of manager.

DUTIES AND RESPONSIBILITIES:

  1. Performs patient appointment scheduling, registration, check-in, and check-out procedures.
  2. Accurately register patients according to training guidelines when the patient presents for services.
  3. Ensure that required/applicable forms and documents are presented and explained at time of registration.
  4. Provides way finding, general assistance and customer service to all clinic patients/families and visitors.
  5. Schedules appointments per practice protocol.
  6. Completes reminder calls to patients for scheduled appointments.
  7. Obtains future appointments at time of service for clinic follow-up, referrals, and ancillary services.
  8. Management of waitlist to back fill open appointment slots.
  9. Records no-show and cancellations in the Electronic Health Record system.
  10. Updates, maintains and documents patient account information accurately in the Electronic Health Record system.
  11. Provides eligibility information to patients when receiving inquiries.
  12. Demonstrates professional behavior in all interactions and utilizes proper telephone etiquette during every call.
  13. Maintains positive customer service at all times.
  14. Answers telephone calls, assesses needs and determines appropriate actions.
  15. Addresses patient concerns within duration of initial call or escalates to Supervisor if necessary.
  16. Reports and transfers calls to the designated staff member for any patient needing medical advice or emergency treatment with no exceptions.
  17. Daily cash collection and reconciliation of cash drawer. Accurately collects fees, processes charge tickets, and enters payment information.
  18. Manages and processes patient referrals to internal specialties, as indicated by SJC providers. Documents communications, actions and other data in the Electronic Health Record System
  19. Maintains established SAN JOS CLINIC policies, procedures, objectives, quality assurance, safety, environmental and infection control.
  20. Acts as patient advocate and liaisons with various departments to meet mutual goals.
  21. Implements job responsibilities in a manner that is consistent with the SAN JOS CLINIC Mission and Code of Conduct and is supportive of SAN JOS CLINIC cultural diversity objectives.
  22. Participates in team meetings/activities and supports the goals of the team, department, and SAN JOS CLINIC
  23. Perform other related duties as assigned
Requirements

QUALIFICATIONS, EDUCATION AND EXPERIENCE:
  1. High school diploma or equivalency; college degree preferred.
  2. Bilingual English/Spanish required
  3. Minimum one to three years of experience in a medical office including at least one year of relative experience.
  4. Must be comfortable working with financial documents (tax returns, pay stubs, etc.) and evaluating them relative to program eligibility
  5. Proficiently use the computer medical management software entering and updating patient information as required, including, daily input of patient and insurance information.
PHYSICAL REQUIREMENT:
  1. Ability to sit, stand, bend and stoop for (long) periods of time.
  2. Ability to exert up to 50 pounds of force occasionally/frequently.
  3. Ability to work in a stressful environment.
  4. Ability to respond to emergency/crisis situations.
  5. Exposure to noise.
  6. Exposure to blood and/or body fluids.
