Financial and Administrative Analyst

Reporting to the Assistant Dean of Operations in the College of Interdisciplinary and Continuing Studies (CICS), the Financial and Administrative Analyst provides high-level financial and administrative support to three entrepreneurial units, Morgan Completes You (MCY), Morgan Online, and the Center for Continuing and Professional Studies. This is a highly collaborative role that works closely with all members of the CICS team, the Division of Finance and Administration, the Office of Human Resources, the Division of Information Technology, the Title III office, the Bursar's Office, the Financial Aid Office, the Procurement team, and other university-wide offices.

The Financial and Administrative Analyst provides a wide-range of financial and administrative related to the operations of CICS. The role provides ongoing monitoring of expenditures, initiates purchases; processes reimbursements on grants or funder-supported projects, analyzes spending patterns and proposes recommended modifications to manage spending levels, and generates periodic and ad hoc reporting. Maintain and monitor department finances and produce reports, as needed, including reconciling credit card expenses, tracking and managing and reconciling income and department expenses on a monthly, annual, and as-needed basis to conform with University and project reporting guidelines. This role works closely with the Assistant Dean and Dean to prepare annual budgets and reports. This role may perform other special projects as required by the Dean.

Duties and Responsibilities:

* Financial: Utilize university programs and software to create, review, and submit financial documents including travel claims, purchasing card expense reports, claim vouchers, requisitions, purchase orders, and deposit forms; may provide routine financial reports to individual unit administrators. * Administrative: Provide administrative support and coordinate activities of a department or unit by prioritizing, directing, and responding to business matters involving university administrative functions. Support regular and non-routine meetings and events; coordinate complex travel arrangements. Compose and distribute meeting notes and routine correspondence or reports, such as presentations, and statistical or monthly activity reports. Enforces established policies and procedures for the college to adhere to unit objectives and to align with established strategies at the university-level. Assists, recommends, and advises staff, on unit or program administrative issues, personnel matters, and budgetary problems. * Project Management: Lead CICS projects by defining and documenting project goals and timelines; tracking and confirming project milestones; and coordinating project resources. This role prepares project scope of work statements and may manage internal and external projects, including managing vendor partners, that may be complex and cross-divisional to ensure that the goals are met, deliverables are appropriate to the goal, and that the project is completed on-time and on-budget. Balance competing demands and multiple projects simultaneously with good prioritization approaches. * Reporting and Analysis: Prepares monthly, annual, and ad hoc reports to support the operations and management of CICS and each of the units in the college. Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s). Works closely with departmental customers to conduct business analysis and identify business objectives and requirements. * Other duties and special projects as assigned by the Assistant Vice President and Dean, including representing CICS at events and functions.
