Front Desk Representative

Job Overview:
We are seeking a friendly, professional, and highly organized individual to join our team as a Front Desk Representative. As the first point of contact for clients, visitors, and employees, the Front Desk Representative will be responsible for providing exceptional customer service and ensuring the smooth operation of front desk activities.
Key Responsibilities:
- Customer Service: Greet visitors, clients, and employees with a positive attitude and provide assistance as needed. Answer questions, provide directions, and assist with general inquiries.
- Phone Handling: Answer incoming calls, direct calls to the appropriate departments or personnel, take messages, and follow up as needed.
- Check-in and Check-out: Oversee the check-in and check-out processes for visitors, clients, and vendors, ensuring all procedures are followed accurately.
- Administrative Support: Maintain and organize front desk supplies, manage incoming and outgoing mail, and perform general clerical duties as needed.
- Security: Monitor and manage building access, ensuring that security protocols are followed. Issue visitor badges and maintain a log of guest arrivals and departures.
- Communication: Effectively communicate with team members and other departments to relay important information and ensure smooth operations.
- Maintain Cleanliness: Ensure the front desk and lobby area are kept clean, organized, and welcoming for visitors and staff.
- High school diploma or equivalent. A college degree or certifications in customer service or hospitality is a plus.
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Professional phone etiquette
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle sensitive and confidential information with discretion
- Basic knowledge of office equipment (copiers, fax machines, etc.)
