Job Overview:

The Quality Document Coordinator is responsible for receiving incoming documentation from customers and suppliers, submitting, maintaining and retaining documentation requiring current revisions to responsible parties. Review and approve supplier certificates of conformity to support request for shipping release. This position assures coordination between departments in order to ensure that all customer documents are kept in the correct locations physically and electronically.

Responsibilities:
  • Ensures documentation submittals meet the formatting requirements set forth for each respective project
  • Ensures timely completion of ITP, MDR and all other related documentation in order to meet customer deadlines
  • Ensures corporate documents are submitted on time and with the utmost quality
  • Responsible for file validation and document controlling
  • Effectively and efficiently follows the companys standard operating procedures in the submission and tracking of document submittals
  • Responsible for receiving incoming documentation from customers and issuing documentation requiring revisions to responsible parties
  • Ensures all documents have no errors in filenames, submissions, etc. before they are submitted
  • Ensures certificates are accurate in support of supplier shipping release
  • Controls and maintains vendor files
  • Creates, implements and maintains Quality Documents Key Performance Indicators
Qualifications:
  • Exceptional attention to detail
  • Competence in general computer skills and the use of common business software, to include: Microsoft Office Suite (Word, Excel, Access, Power Point, etc.)
  • Skilled in the operation of standard office machinery including ten-key adding machine, computer keyboard, printer and fax
  • Must have industry knowledge or a willingness to learn
  • Prior experience in a similar role preferred
  • Ability to establish and maintain effective working relationships with employees, business associates, management and other staff

Work Environmental and Physical Demands:

  • In order to perform the duties of this job, the employee may be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects, tools or controls
  • Overtime may be necessary as the workload dictates. This may include weekdays, weekends, nights and/or holidays
  • Job will generally be performed in an office environment, buy may require travel to a Client's office, production facility or industrial/construction job site. Conditions will vary at each location, but the conditions listed above will generally apply
  • Able to lift up to 45 lbs.
  • A valid drivers license is necessary for travel between the NCI facility locations as required

Environmental Safety Requirements

  • New Employee Safety Training is required by all newly hired employees, including Safety Awareness and Human Resource compliance
  • All safety related training is provided and tracked by the Environmental Health & Safety Manager
  • Job specific training modules deemed necessary by employees Manager or Director will be required of all employees on an ongoing basis

Employees are required to wear Nikkiso provided PPE as/when needed. PPEs include, safety shoes, safety glasses, face shields, FR clothing, cryogenic gloves, cryogenic apron, cut resistant gloves, safety gloves, hearing protection, hard hats and dust masks. Failure to comply with Nikkiso Cryo safety requirements will result in disciplinary action, up to and including termination.

Experience and Education:

  • High School Diploma or GED equivalent is required
  • Associates degree is preferred, but not required
  • Proficient in Microsoft Office
  • 2 years experience with document management
  • ISO 9001:2015 experience preferred, but not required.
