Location Description:

The Flamingo Resort & Spa is a mid-century marvel in The Valley of the Moon. The buildings, rendered with natural materials and iconic angular silhouettes, are the work of master architect Homer A. Rissman. Set on a 10-acre campus, it is an incomparable property for both its city access and sense of complete retreat.

Overview:

The Spa Receptionist is responsible for providing exceptional service to guests at The Spa at Flamingo. This role includes greeting guests, scheduling appointments, managing spa bookings, handling payments, and ensuring a smooth and welcoming experience for all spa visitors. The Spa Receptionist also supports the overall operation of the spa by maintaining cleanliness and organization of the reception area and assisting with administrative tasks.

Key Responsibilities:
    • Greet and welcome guests in a warm and professional manner.
    • Provide information about spa services, treatments, and packages.
    • Answer phone calls, respond to emails, and handle guest inquiries efficiently.
    • Schedule and confirm spa appointments accurately using the spas booking system.
    • Coordinate with spa therapists and staff to ensure smooth scheduling and optimal use of resources.
    • Handle changes, cancellations, and rescheduling of appointments.
    • Process payments for spa services and retail products.
    • Handle cash, credit card transactions, and maintain accurate records.
    • Reconcile daily sales and prepare reports as required.
    • Maintain guest records, including treatment history and preferences.
    • Assist with inventory management of spa products and supplies.
    • Perform clerical duties such as filing, data entry, and managing spa correspondence.
    • Ensure the reception area is clean, tidy, and well-organized.
    • Display promotional materials and keep the reception area stocked with brochures and information.
    • Manage the distribution of spa robes, towels, and slippers to guests.
    • Handle guest complaints and concerns with empathy and professionalism, escalating issues to the Wellness Supervisor if necessary.
    • Ensure guests have a seamless and enjoyable experience from arrival to departure.
    • Promote and upsell spa services, treatments, and retail products.
    • Work closely with spa therapists, attendants, and other team members to ensure a cohesive and efficient operation.
    • Assist in training new reception staff as needed.
    • Participate in staff meetings and training sessions.
    • Other duties may be assigned.
Qualifications:
  • Previous experience in a receptionist or customer service role, preferably in a spa, hotel, or resort setting.
  • Knowledge of spa treatments and services is a plus.
  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in using booking systems and office software (e.g., MS Office, Spa software).

  • Ability to handle financial transactions accurately.

  • Professional appearance and demeanor.

  • Friendly, approachable, and customer-focused.

  • Ability to remain calm and composed under pressure.

  • Ability to stand for extended periods.

  • Ability to work flexible hours, including weekends and holidays.



Compensation Range:
The compensation for this position is $20.00/Hr. - $22.00/Hr. based on qualifications and experience.
