Primary Responsibilities

  • Provide excellent customer service
  • Coordinate crew and job scheduling
  • Receive general phone calls and greet visitors
  • Receive and dispatch lead calls and job referrals
  • Perform general administration duties
  • Assist other departments, as needed
  • Perform detailed and accurate data entry, including analyzing dispatch reports
  • On-Call Rotation for after hours emergency dispatch
  • Maintain internal and external communications
  • Complete and review job file documentation for final upload and the audit process
  • Manage Work-in-Progress (WIP) Board
  • Prepare paperwork for Crew/Estimators, write estimates, and manage job files
Position Requirements
  • 1+ year(s) of administrative or office-related experience preferred
  • Customer service experience, quality assurance, and scheduling a plus
  • Experience in service industry environment a plus
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Polite, confident, and excellent customer service skills, including listening and questioning skills
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Ability to multi-task
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate® and proprietary software
  • Minimum of HSD/GED preferred
  • Ability to successfully complete a background check subject to applicable law


Physical and Work Environment Requirements

This is a largely sedentary role in an office environment. However, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

Normal Working Hours, Additional Working Hours, and Travel Requirements

This is a full-time position working four- 10hr shifts, 7:00 a.m.- 5:00 p.m., Monday through Thursday or Tuesday through Friday, or M-F 8 hrs per day option. This position requires on-call availability on a rotation basis (about 1wk/month) to intake and dispatch emergency calls after hours. Additional compensation provided.
