The Associate, Administration (Receptionist & Office Coordinator) will handle administrative and receptionist duties to ensure the smooth operation of the office in a professional, safe and efficient manner appropriate to the business needs. Position works on-site and is based in Charlotte, North Carolina,

MAJOR DUTIES & RESPONSIBILITIES:

  • Oversee and support all administrative/receptionist duties in the office and ensure that office is operating smoothly.
  • Greet and assist visitors when they arrive at the office.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.
  • Responsible for maintaining office facilities and supplies needed to conduct business and ensuring a clean, efficient & professional work environment.
  • Ensure office policies and procedures are met & implemented appropriately.
  • Coordinate the facilities management efforts including all maintenance/repairs and service contracts/relationships, serving as the first point of contact.
  • Handle necessary purchasing of office goods and services for the location following established processes.
  • Provide other administrative and clerical support to the team, including scheduling meetings, expense reports, maintaining calendars, assisting in travel logistics needs and reports for business units.
  • Assist Human Resources in coordinating interviews, orientations on day-to-day topics regarding but not limited to annual evaluations, special projects, reports, trainings, etc.
  • Handle coordination with other offices, external parties, etc.
  • Other duties may be assigned.
MINIMUM REQUIREMENTS:
  • Associate degree in business administration or related field required.
  • Two (2) years of related administrative experience preferred.
  • Minimum education and experience required can be substituted with the equivalent combination of education, training and experience that provides the required knowledge skills and abilities.
  • Self-starter with a hands-on approach to problem-solving & decision making.
  • Service driven with excellent interpersonal and communication skills.
  • Highly organized and able to manage a variety of tasks simultaneously observing attention to detail with minimum supervision.
  • Proficiency in MS Office (Word, Excel, PowerPoint) required.
