Job Description:
- Support electrical and mechanical maintenance groups; opening and printing out all the paperwork for the next day(s) work that the people in the shop are going to be performing. (Packages contain work instructions, procedures)
- Scheduling in Outlook for different things.
- Some entering of expenses (receipts and expense work).
- General administrative duties.
- Interacting a lot with people within the plants, more specifically electrical and mechanical maintenance groups in addition to partnering with existing admin staff.
- Go into a system to print out qualifications for the team; check to make sure that all their qualifications to do work are good; look through emails to see if there's any new requests or any communications that came in that they need to be aware of to start off their day, then there's a daily 15-minute meeting where the supervisor/manager of that team will sit down with the team and go over what they're doing for the day; will sit in on that meeting to see if anybody needs assistance with those items.
- From there, go into a schedule that the team has for the work that they're going to perform in which they are required to look up the tasks that they're going to be performing in the next couple of days in print, as mentioned earlier.
- Once printed, those tasks are then put into binders so that the maintenance groups are all ready to go.
- Essentially, the maintenance personnel can pick up their packet of paperwork to go out in the field and do work.
- Expect that new managers/supervisors would be stopping by to ask for help/support on other ad hoc tasks.
- When the maintenance personnel are done with their work, the paperwork/binders/packets are to be signed off on by the leader. These packets are submitted to the admin staff who will then submit the paperwork to the leader for peer review to ensure it has signatures and there's nothing missing.
- Scanning that paperwork into the system and file it away
- 1-2 years of experience with general administrative work (receptionist, coordinator, etc.).
- Proficient in and have general knowledge of the Microsoft suite of tools.
- SAP work management experience is nice to have, however, not required.
- Highly collaborative with the existing admin staff, managers, team and plant personnel, self-driven/managed to ensure that their team is taken care of and work/assignment/projects are being completed.
- Must be sociable and engaging
- Ability to be re-directed and have prior experience with changing gears and shifting priorities.
- Must be well organized.
- Experience with filing, scanning.
- Experience supporting small to larger 30 person teams.
- Ability to be engaged and act as a team player/partner, ask questions, be proactive (what's next, how can I help with that).
- Strong attention to detail
- Stability/career progression.

Technical Certification Bonus: Synectics is pleased to award its employees a bonus of up to $500 for an approved professional certification. In determining the bonus amount, Synectics will consider the cost of the test(s) for any certification relating to your current position, achieved during your employment with us. Only one Certification Bonus per calendar year may be awarded per employee. Only current, active employees will be eligible to receive this bonus. It will be awarded 90 days after the Synectics office has received documentation confirming the successful completion of the certification.
