We are currently looking for a Facilities & Logistics Administrator to join our busy construction client and to help assist with their Facilities Management and Logistics Management team based in their Chatham, Kent office.

We have personally worked with this Client for many years and have been asked to find them a Facilities & Logistics Administrator someone with sales and admin experience within construction, procurement even buying.

The role would suit someone who has at least 3+ years working within an office environment, someone who is confident, well organised and able to work in team as well as independently.

As Facilities & Logistics Administrator, you will be responsible for overseeing the company s facility and logistics duties. Effectively being the first point of call for managing the Company s facilities and logistics. You will required to support employees with their Company fleet vehicles and assisting with queries, insurance and general vehicle administration. You will also assist with the Facilities within the company and manage the upkeep and ensuring that any issues are reported and dealt with effectively.

Facilities & Logistics Administrator Role Responsibilities: Facilities Management: • Ensuring that the cleaning contract of the office is up to date and respond to any cleaning queries • Manage the Company s air conditioning contract, and assist with any queries or issues relating to the air conditioning • Manage the alarms systems, and assist any issues or queries relating to the Company s alarm systems, including door entry system and fire alarms • Manage the Company insurance and ensure we are up to date and carrying out any renewal meetings, as well as putting together relevant paperwork and documents • Managing the businesses rates for both office and site • Managing the utilities for both office and site • Managing our waste management and ensuring that documents are up to date and putting together paperwork when required. Assisting with any queries and issues • Managing the Company s water heaters, assisting with any issues • Managing the general office repairs • Manage furniture and any necessary repairs. Assisting with any renewals • Ensuring that the fire extinguishers are up to date and managing this for both office and site. Assisting with any paperwork or renewals • Manage the Company printers contracts for both office and site and ensuring that the contracts are up to date and assisting with any queries or issues • Manage the broadband contracts and renewals for both office and site. Assist with renewals • Manage the Company phone lines for both office and site. Ensuring that all contracts are up to date and assisting with any queries or issues • Manage the upkeep of the office and ensuring that any issues within the office is reported and dealt with effectively • Responsible for arranging and issuing parking permits as and when required for the head office

Logistics Management: • Manage the company s fleet cars fuel cards, and assisting with any renewals • First point of call for fleet car and van issues, assist where necessary • Manage fleet car fines, such as parking fines • Manage Company train tickets and be the first point of call for ordering train tickets for both office and site staff. Assisting with any queries where possible • Manage the congestion charge administration for the Company fleet vehicles

• Manage the fleet vehicles dart charge and ensure that dart charge administration is complete and assist with any queries • Book hotels and be the first point of call for booking hotels for both office and site staff when required • Managing fleet vehicles insurance, assisting with queries relating to renewals and vehicle claims

General Administration: • Manage the stationary system and ensure that supplies are adequately stocked and order when required for the head office • Order business cards and headed paper when required. Managing to ensure that we are stocked up on letter headed paper for both office and site • Manage our Amazon account and do orders as and when required • Responsible for answering and redirecting phone calls • General office administration as directed by the Directors Project Manager • Handle incoming and outgoing post. Manage and liaise with courier and logistic companies as and when required

Skills and Qualifications:

• Advanced use Microsoft Outlook email and calendars and MS Word. • Excellent English language skills, dealing with telephone calls, visitors and emails appropriately. • Advanced user Microsoft Excel • Good communication skills • Working together effectively • Managing our business commercially • Managing self and others. • Able to multitask and manage multiple projects effectively • Previous experience within administration, facilities and logistics, providing operational support • Good attention to detail
