As the Warranty Coordinator, you will be responsible for administrating the warranty claim process to maximize efficiency and return on warranty claims.

Essential Functions

  • Provide guidance to the Parts and Service Manager on validity of all warranty claims.
  • Contact manufacturer for pre-approval and scope of repair before work begins.
  • Advise Service Manager and technician of the repair time approved for each warranty job and what pictures and supporting documents are required for submission.
  • Review work orders before closing to ensure it is complete and accurate (Parts pricing, labor hours, Labor rate, travel time and miscellaneous shop charges).
  • Submit claims online or by email within the manufacturer's stated submission deadline.
  • Liaise with manufacturer by phone, email, or media chat as required to support or process warranty claims.
  • Monitor all open claims and do follow-up with manufacturer to ensure claims are being processed and paid within 90 days.
  • Correct and resubmit any denied claims due to missing or incomplete information.
  • Report denied claims and reason to the Parts and Service Manager's for further action.
  • Maintain accurate warranty claims records for review upon request.
  • Report parts that must be returned to the manufacturer, as part of warranty claims process, to the Parts and Service Manager.
  • Communicate with Sales, Service and Accounting teams to coordinate warranty claims
  • Parts Dept will receive and tag warranty parts with work order number and warranty reference and return the parts. Copy of return documents will be provided to the Warranty Administrator.
  • Perform other duties as reasonably assigned.
Competencies and Basic Requirements
  • High school diploma or GED
  • 2+ years of experience preferable working with service or warranties claims
  • Excellent communication and organization skill
  • Ability to create strong relationships, trust, and rapport with team
  • Ability to successfully collaborate, problem solve, and listen, with great attention to details
  • Must possess proficient phone and computer skills including CRM software, MS Office (Microsoft Word, Excel, and Outlook), and other various applications
  • Excellent written and verbal communication skills
  • Strong work ethic, team player and positive attitude
  • Must have U.S. Work Authorization
  • Must be able to pass background checks and random drug screenings
