Under direct supervision, the Meeting/Event Planner I provides support to the department and/or organization in regards to planning and organizing live and virtual meetings and events. They will assist in the RFP and contracting process

Essential Duties and Responsibilities:

  • Provide research support for meeting/event venues and coordinate logistics including attendee registration, transportation, accommodations, meals, and technology.
  • Assist with rehearsals and system checks of all equipment and connectivity.
  • Researches and maintains relationships with vendors for meeting/event support services.
  • Provide support to ensure events meet and exceed expectations by following established procedures, collaborating with other employees, and ensuring accuracy.
  • Gather information needed to facilitate communications and follow-up including invitations and pre/post event materials.
  • Other duties as assigned.

Qualifications:

  • This position requires a minimum of one year event planning, marketing, communications and/or hospitality experience.
  • Previous experience with Vendor relations and negotiation is required.
  • Previous experience managing a budget is preferred.
  • Proficient with Microsoft office, including skills with Word, Excel and PowerPoint, is necessary.
  • Strong organizational skills and initiative to improve processes is crucial.
  • Ability to communicate across all levels of the organization is necessary; must be able to clearly articulate ideas verbally and in writing.
  • The ability to work efficiently under pressure, accurately meet deadlines and present a professional demeanor is necessary.
  • The ability to work successfully both independently and within a team is necessary.
  • Ability to motivate self and others is necessary.
  • Proven ability to collaborate across the Company including the ability to manage and respond to different organizational situations while maintaining a positive and friendly attitude is essential.
  • In addition, organizational and problem-solving skills, a can-do attitude, and the ability to adjust to changing requirements are essential.
  • Maintaining confidentiality, treating others with respect and upholding Company values are key attributes.

Educational Requirements:

This position requires a Bachelors degree in business or related or equivalent experience.
