Executive Assistant Wood Personnel has partnered with a Nashville-based organization to hire a qualified Executive Assistant to support their Chief Financial Officer and Chief Administrative Officer. This role requires exceptional organization, communication, and relational skills. The Executive Assistant will work directly with the CFO and CAO to support and coordinate dates, manage meeting schedules, maintain documentation and strict confidentiality. Previous high-level Executive Assistance experience required. This position offers the opportunity to join a small, collaborative accounting team where your expertise will make an immediate impact. Executive Assistant Compensation and Benefits: Temp to Hire $28/hour Full Time Insurance benefits offered during temporary period Executive Assistant Key Responsibilities: Coordinate calendars, manage meeting scheduling, confirm quorum, prepare agendas and presentation materials, travel arrangements, and prepare and manage minutes for several Committees, Councils and Boards. Assist CFO, CAO, and other Directors in planning and managing Board and Committee membership rosters and terms. Organize and maintain the Fiscal Services file system. File correspondence and other records. Assist Fiscal Service department in obtaining A/P check signatures and mailings. Assist in preparing confirmation letters and other documents for annual audits. Work with different accounting principles; AR, AP, invoicing, budgeting, etc. Screen and prioritize communications and requests directed to the Officers. Serve as a liaison between the Officers and other staff and external contacts. Prepare and edit correspondence, reports, presentations, and other documents. Maintain a high level of confidentiality and discretion in all matters. Manage files, databases, and records related to the Officers offices. Other supporting requests and duties as assigned. Executive Assistant Qualifications: Bachelor's Degree in Business, or comparable degree work will be considered. Prior experience as an Executive Assistant is preferred. Strong proficiency in Microsoft Office software: Including Excel, Power BI, Word, PowerPoint, Outlook, SharePoint and Teams. Ability to present and conduct self in a professional manner. Ability to make mature and prudent decisions. Ability to maintain strict confidentiality and utmost discretion in all matters. Excellent attention to detail and accuracy with ability to multi-task. Ability to anticipate needs of the CFO, CAO, and various committees. Superior communications skills, oral and written, applied in a courteous and professional manner.
