Our Opportunity We are currently seeking an experienced Administrative Assistant for our Denver, CO office. In this role you will be part of an administrative team of two, responsible for performing a wide variety of diverse, administrative tasks to provide a high level of support for our professional consultants and corporate staff. Qualified candidates who are selected to participate in our screening process for this role will be asked to take an editorial assessment via Microsoft Word prior to a potential formal interview. You Will Be Responsible For Consultant / Project Support Setting up new projects in our electronic system and run conflict checks Drafting retention letters and statements of work Printing and collating project binders Editing documents and reports for formatting, grammar, spelling, and content review, including large (250+ page) reports Organizing final project documents prior to submission Coordinating and maintaining schedules and travel arrangements Preparing and processing expenses Assisting with accounts receivable collection, invoicing, purchasing Assisting consultants with ad-hoc requests Logging evidence and unit charges Ensuring all projects are set up accurately and work product complies with corporate policy Downloading file materials, scanning documents, and completing materials received lists General Office Support Providing front desk coverage including low-volume phone coverage and greeting visitors Maintaining inventory, organization and upkeep of supply/copy room, conference rooms, and kitchen area Handling mail and shipping/receiving Coordinating onsite meetings for internal and external client meetings, including setting up web conference systems, catering, room setup/clean-up Supporting facilities requests administratively (both from corporate and the building management) Coordinating equipment maintenance (copy machines, kitchen appliances, etc.) Assisting Human Resources with local candidate interview scheduling Contributing to the in-office culture through event coordination and planning of employee celebrations, holiday parties, etc. You Will Have The Following Skills And Qualifications Bachelor's Degree (preferred) Minimum 3 years of administrative experience, including support to a team and senior/executive-level staff Experience working in a professional services firm or law firm is a plus Exceptional attention to detail and ability to manage multiple tasks simultaneously Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Working experience with Vision/VantagePoint is a plus Prior experience with running conflict checks is a plus Proficiency in online conferencing tools (e.g. Microsoft Teams) Strong editorial and proofreading skills Must be able to demonstrate strong organizational, planning, monitoring of tasks, and follow-up skills Demonstrated problem-solving skills and initiative Committed to quality work product both for independent tasks and team projects Demonstrated self-starter who shows initiative Motivated and committed to learning new systems, processes, skills Ability to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staff Exposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgment Must be able to lift, push, pull a minimum of 20 lbs.
