UTS - Temporary Event Administrator at UNC Chapel Hill

The primary responsibilities of the Conference Event Administrator include:
Conference planning, implementation, and administration 70%
Support the Conference Director in basic market research efforts needed to develop and pilot appropriate pricing and packages for Conference registration
Serve as the subject matter expert and primary point of contact for conference registration
Troubleshoot registration platform issues, manage customer service requests, and train others as needed on the registration process
Assist in the administration of travel scholarships and maintain related documentation
Issue and maintain documentation for visa letters requested by conference participants, hardcopy program development, volunteers, and other activities as assigned
Serve as Conference concierge and resource forVIPguests and other participants during the pre-planning period and week of the Conference
Help schedule pre-conference planning meetings and debriefs with key stakeholders at the Conference Directors request
Take detailed notes during meetings and summarize related actions/outcomes
Assist in administrative tasks associated with an abstract review (ex: tracking completion, follow-up with assigned reviewers)
Assist the Conference Director in coordinating and organizing the schedule of presenters and events under the overall Conference program
Triage and respond to conference inquiries received in the WI email inbox, based on standard responses and regular feedback from the Conference Director
Troubleshoot and solve administrative problems in collaboration with WI senior management
Administer Conference surveys and summarize key metrics/feedback for senior management
Assist in scheduling post-conference debriefs/feedback sessions; take detailed notes of items discussed
Help analyze and report Conference-related metrics and performance indicators as defined by senior management
Assist with scheduling Conference training
Communications 15%
Assist with the development of marketing materials, and drafting communication pieces for WI listservs, etc.
Assist with drafting key Conference communications, website updates, and email campaigns per the Conference Directors feedback
Marketing and fundraising 15%
Support Conference-related fundraising efforts, including basic market research needed for optimizing sponsorship packages/benefits, scheduling outreach/information sessions, and providing customer service to sponsors as needed
Other duties as assigned
Support other projects and administrative duties as assigned
Complete other tasks and duties as assigned
This position Supports a hybrid schedule, Onsite 2-3 days per week; accessible via public transit and parking passes available throughUNC.

Minimum Experience/Education:

College Degree and 1 to 2 years of event planning or coordination experience
Department Required Skills:

Must be committed to efficient, excellent, effective event management through listening, clear communication, and conducting business effectively.
Must demonstrate strengths in organization and time/task management
