Working under the direction of the Director, The HR coordinator is responsible for supporting the onboarding and offboarding efforts for Extended Workers (formerly known as POIs) for all Community and Specialty Hospitals at MGB. The HR Coordinator uses strong organization skills and attention to detail to maintain accurate employee data and compliant records within the Mass General Brigham HR department. Working with other members of the HR Operations team, s/he provides consistent support to strengthen the infrastructure on which the HR department operates. The ideal candidate will possess a professional demeanor, exhibit a solution-oriented mindset, and display an ability to manage a broad spectrum of tasks.

DUTIES AND RESPONSIBILITIES
  • Use Mass General Brigham's values to govern decisions, actions, and behaviors.   • Create and maintain the HRMS records needed to provide MGB system access and identity management for non-employees.
  • Identify incomplete or incorrect submissions and resolve issues through research and follow-up with the end users and/or their managers. Upload or enter the submissions into the HRMS.
  • Establish strong working relationships with members of the MGB eCare team to facilitate timely support of Epic rollouts, problem-solving, and process improvement.
  • Work with appropriate IS contacts to correct or merge flawed/duplicate Partners System IDs.
  • Monitor daily error reports.
  • Process Exclusion checks at time of initial request and annually if applicable
  • Maintain information and update or correct records as new information is received. Conduct quarterly user audits to ensure that access is terminated appropriately.
  • Participate in regular team meetings to discuss team and project-related activities, issues, changes, and communication as needed.
  • Assist with efforts to standardize POI processes across the enterprise.
  • Work and triage ServiceNow tickets for inquiries.
  • Acts as liaison/contact to department managers regarding on-/off-boarding, compliance and policies and procedures related to Extended Workers
  • Provide customer service support to employees, managers, and extended workers using the HRMS system.
  • Perform other duties and responsibilities as assigned.
  • Escalates necessary issues to Director in a timely manner.

General Office/Administration Responsibilities

  • Engages in extensive personal contact with all BWH employees assisting them with the Extended Worker onboarding process (documents, questions, and general support)
  • Tracks and reconciles historical Peoplesoft entries.
  • Assists with departmental clerical needs as they arise.

Qualifications:

QUALIFICATIONS
High School Diploma required, additional formal education desirable.
2-3 years experience in a Human Resources or customer service setting is preferred.
A combination of education and experience may be substituted for requirements.

SKILLS AND ABILITIES REQUIRED
Strong interpersonal and organizational skills are essential.
Ability to work with people from diverse ethnic, cultural, educational, and socioeconomic backgrounds.
Customer Service skills are essential.
Excellent writing and verbal communication skills
Strong computer skills required. Proficient with Microsoft Outlook, Word, and Excel. Access skills are strongly preferred.
Knowledge of PeopleSoft/Workday/Beeline HRMS, HealthStream, and Epic preferred.
Individual must possess initiative, and keen attention to detail.
Ability to set and meet aggressive deadlines.
Ability to adapt to changing and fast-moving environments.

WORKING CONDITIONS
Possible local travel to Mass General Brigham sites
While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch. The employee must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision and depth perception.
