Summary:

Under the direction of the Senior Director of Development, the Development Coordinator is responsible for providing critical support to the Fund Development team and for coordinating programs and initiatives. This position is responsible for database management (entering, reporting, evaluating, and analyzing data/research) and coordinates the Prospect Management and Tracking System and team meetings and reports for prospect management. The Coordinator also supports donor communications/marketing, fundraising events, including mailing list management. This is a fast-paced position that requires proficiency with Microsoft 365 and proficiency with the donor database (Raiser's Edge) administration, as well as success in problem solving. The Development Coordinator is responsible for managing timelines and multi-tasking on several projects simultaneously.

Duties and Responsibilities
  • Coordinate Database and Prospect Management
    • Coordinate the comprehensive Prospect Management and Tracking system within Raiser's Edge to systematically move donor/prospects through cultivation and solicitation process.
    • Responsible for Prospect Management Meeting reports and agendas and provides the development team with weekly donor/prospect action reports; enter donor/prospect actions in Raiser's Edge
    • In coordination with the Finance team to ensure gift entry is complete; gift acknowledge process is accurate and complete in accordance with the IRS guidelines.
    • Ensure the database's integrity, including clean-up tasks, data enhancement services, quality control checks, communication with donors, etc.; create gift queries, exports, and reports for mailing lists, email blasts, donor recognition listings, grant submissions, and weekly/monthly development reports.
    • Manage and create new campaigns, appeals, and events in Raiser's Edge; pull reports to support all KPI reporting according to Development Plan.
  • Donor Communications
    • Responsible for the gift acknowledgement process through timely letters, notes, and phone calls; collaborate with staff to identify donation needs and appropriately distribute and collect in-kind items; collaborate with leaders to identify and manage segmented donor lists and track communication outreach.
    • Partner with the Senior Director of Development to build a robust system to steward donors and ensure all donor touchpoints are recorded in database.
    • Assist leaders in managing website content and providing data for the Annual Report and the Annual Meeting.
  • Project Coordination - Events:
    • Support with fundraising and the execution of Serious Fun, Fall Luncheon, and other donor cultivation events, this includes, but is not limited to database support and implementation, maintain guest lists and attendance, prospect and procure action donations, prepare solicitation materials, collateral materials invitations, save-the-dates, and donor communication, creation of event registrations and donor forms for the website, etc.
      • Generate committee meeting agendas and minutes.
      • Support prospecting, identifying, securing, and cultivating Committee Members; support in managing the timeline, program, and task list.
      • Secure volunteers and lead the staff and volunteers working at the event; lead day of implementation for volunteers and staff.
  • Project Coordination: Annual Meeting
    • Lead day of implementation of Annual Meeting; secure and lead staff working at the event.
    • Support identification of honorees, guest speakers, or key stakeholders to speak at the event; support managing the timeline, program, and task list.
  • Support the team in building a culture of philanthropy.
Qualifications
  • Bachelor's degree or commensurate work experience.
  • Three-five years fund development experience required.
  • Experience coordinating fundraising events.
  • Proficient skills in Microsoft 365 and Raiser's Edge (or similar CRM).
  • Ability to manage multiple tasks, meet deadlines, and stay organized.
  • Ability to travel to various locations within Orange County, attend events on evenings and weekends, as needed.
  • Complete post-hiring Domestic Violence 40-hour training.
