POSITION SUMMARYMELE Associates, Inc. is seeking to add an Administrative Support Specialist to our national security and intelligence team, supporting a key customer within the Department of Energy (DOE).The Administrative Support Specialist will support the DOE's Office of the Associate Under (AU) Secretary for Environment, Health, Safety, and Security (EHSS) and will be responsible for a multitude of administrative related duties such as managing correspondences, filing, updating spreadsheets and documents, scheduling and calendar software, and more. This position is full-time and available immediately to the successful candidate.

ESSENTIAL FUNCTIONSThe Administrative Support Specialist supporting this position will provide clerical and administrative assistance in support of the day-to-day operations at DOE, such as handling and ensuring proper destruction of sensitive information, collaborating with DOE field personnel, travel arrangements, and other various office duties. Essential duties may include:

  • Handle classified and sensitive documents, including marking, destruction, and reproduction.
  • Manage inter- and intra-office incoming and outgoing correspondence, as well as filing and record management.
  • Document creation and editing, scheduling and calendar software, graphics, spreadsheets, record management and electronic mail.
  • Typing support re: correspondence and/or reports, document distribution, filing, travel arrangements, and other general office duties.
  • Ensure mail received by the Office of Departmental Personnel Security Administrative Staff requiring action by its staff is forwarded to the appropriate Federal Security Specialist or Director of AU-53.
  • Provide assistance in receiving, examining, sending and distributing mail and materials to and from DOE Operations Offices including AR Action Correspondence and Defense Counterintelligence and Security Agency (DCSA) reports of investigation.
  • Provide technical support, including analysis of cross-cutting issues and rapidly responding to issues and questions raised by senior DOE management, Congress, or other stakeholders.
  • Develop and utilize computer models and other analyzing tools to perform quantitative and trending analysis of findings and results that involve work areas of multiple AU offices.
  • Develop new methods, tools, and techniques for mission support activities and appraisals that apply to work areas of multiple AU offices.
  • Provide technical, administrative, and publication support, including editing and printing for cross-cutting reviews and reports.
  • Offer program support and technical expertise to conduct information management activities, including performance needs analyses.
  • Perform analysis and support activities for program initiatives such as analysis of training needs, training support (including support for training academies and international training), specialized training, and independent review of policies and guidance.
  • Supply specialized expertise and support in information management, analysis, and strategic planning.
  • Provide All other duties as assigned.
MINIMUM REQUIREMENTS
  • High School Diploma, GED, or equivalent.
  • Must possess an active DOE Q clearance.
  • Minimum of five (5) years of experience in performing and expediting administrative, document creation and editing, and report production support type tasks in a multi-person organization with an emphasis on responsiveness, timeliness, and accuracy.
  • Demonstrated interpersonal communications skills, have experience in managing inter- and intra-office incoming and outgoing correspondence, and have experience in filing and record management.
  • Experience with state-of-the-art software in a Local Area Network (LAN) environment, including document creation and editing, scheduling and calendar software.
DESIRED KNOWLEDGE, SKILLS AND ABILITIES
  • Associate degree or higher from an accredited University or college.
  • Seven to ten (7-10) years of experience in administrative or clerical functions, preferably within the DOE.
LOCATION:
  • This is a full-time onsite position in Washington, DC 20585, USA
  • Telework options are available with a requirement to be in the office at least three days a week, based on the level of in-person meetings and office needs.
