We are looking for an enthusiastic individual passionate about client service to join our Cincinnati, OH team as a Client Care Specialist.
Day-to-day responsibilities include managing client service inquiries and supporting firm-wide operational tasks to provide an elevated experience and high level of service to our clients. We are searching for someone with a positive, upbeat attitude with strong interpersonal, communication and organizational skills, who can help us exceed our clients' expectations.
Responsibilities:
1. Account Opening & Servicing
- Oversee the account opening process for new clients, including preparation and submission of required documents.
- Coordinate and track asset transfers, ensuring timely completion and accurate processing.
- Perform account maintenance tasks such as updating client information, managing beneficiary changes, and processing service requests.
- Work closely with custodians and internal teams to address and resolve account-related issues.
- Respond to client inquiries promptly, providing guidance on account-related matters and addressing service requests.
- Contribute to the development and execution of client service standards resulting in client retention and satisfaction
- Support advisors in preparing and organizing client information for meetings and reviews.
- Prepare and set up meeting conference rooms in advance of scheduled meetings
- Conduct proactive client outreach to schedule and confirm upcoming reviews or follow-ups.
- Execute client retention and engagement tasks, including personalized outreach and firm-led campaigns including "keep in touch" practices (birthday cards, holiday event mailings, etc.)
- Contribute to the development and execution of client service standards that drive retention and satisfaction.
- Maintain accurate client records in the CRM and ensure all account-related documentation is up to date.
- Manage the scheduling and firm-wide calendar of associated financial advisors, including pro-active reachouts to schedule and confirm upcoming client reviews or follow-ups
- Support office supply needs including inventory management and vendor accounts payable
- Collaborate with the team on process improvements to streamline account servicing and client interactions.
Qualifications:
- 3+ years of client service experience, ideally in the financial services industry directly supporting financial advisors
- Bachelor's Degree in Business, Finance, Communications, or a similar field. Relevant experience will be considered in place of a degree.
- Strong attention to detail and accuracy, especially in handling account documents and processes.
- Excellent technology skills, including experience with Word, Excel, Outlook, and strong familiarity with a CRM tool
- Experience with Schwab Advisor Center is a plus but not required
- A client-centric approach and genuine interest in delivering exceptional service.
- Superior communication skills-friendly and helpful in all interactions, whether they are on the phone, in person, or via email.
