Position Summary

The Human Resources (HR) Administrator provides essential administrative support to the Human Resources (HR) department with a specific focus on supporting two key areas: HR support for the Little Rock Fabrication and Custom Metals facilities, and Lexicon training and development activities. The role involves supporting recruitment and onboarding efforts, maintaining employee records, assisting with the coordination of training programs, and ensuring smooth day-to-day operations of HR processes. This role is employee-facing, often being the first person a candidate meets, and the one often employees will come to when needing support from HR. As such, the incumbent must present a positive and supportive style, while possessing the ability to build trust due to the sensitive and confidential nature of information being shared.

Essential Duties and Responsibilities

  • Recruitment & Onboarding Support:
    • Assist in posting job openings and managing the application process.
    • Performs initial phone or in person interview and refers applications to the proper supervisor.
    • Schedule interviews, coordinate recruitment activities, and communicate with candidates.
    • Maintain accurate records of job applicants and recruitment data.
    • Assist with the job offer process when needed.
    • Support the effective onboarding of new hires, ensuring they have a positive experience, and that they are informed of and understand company policies and benefits as relevant for their position.
    • Support employee engagement initiatives as assigned.
  • Training Support:
    • Assist with scheduling and coordinating training sessions, workshops, and seminars, including event space identification and scheduling, materials, and meals and refreshments.
    • Supporting employees with travel arrangements and expense reimbursement, job coding, and payroll support activities.
    • Ensure employees are registered and complete the required training events.
    • Maintain up-to-date training schedules, calendars, and databases.
    • Prepare and organize training materials, handouts, and resources as provided by the Training & Development Director, shipping when needed to respective training sites.
    • Track and report training attendance and participant feedback.
    • Communicate with and coordinate internal and external trainers and participants regarding upcoming training events.
    • Ensure all training certifications, records, and documents are stored and updated appropriately.
  • HR Records & Compliance:
    • Support the HR department with general administrative tasks, including filing, data entry, and maintaining employee records, using multiple software programs as applicable.
    • Maintain on-site employment records related to hiring, termination, leaves, status changes and transfers in the relevant HR software system(s).
    • Assist with the preparation of HR reports upon request.
    • Help maintain personnel files, ensuring all required documents are accurate and up to date.
  • General HR Administrative Tasks:
    • Handle general office duties such as answering phones, greeting visitors, and responding to HR-related inquiries.
    • Manage HR-related correspondence and communications.
    • Assist in the preparation of HR documents, including employee contracts, onboarding materials, and policy documents.
    • Support HR initiatives such as employee engagement activities, performance reviews, and wellness programs.
Qualifications
  • Education and Experience: High school diploma or equivalent. Minimum of 2 years of experience in an administrative role in an industrial manufacturing or construction organization, preferably having experience supporting HR or training and development functions.
  • Ability to work within the U.S. without company sponsorship, now and in the future.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Booking, Teams).
    • Excellent verbal and written communication skills.
    • Detail-oriented with strong attention to accuracy.
    • Ability to maintain confidentiality and handle sensitive information and being perceived by others as being trustworthy.
    • Strong interpersonal skills and the ability to work collaboratively with teams and support multiple managers and departments with sometimes competing priorities.
    • Knowledge of HR software (HRIS) and Learning Management Systems (LMS) is a plus.
Physical Demands

Office-based with standard working hours. Some overtime may be required, with occasional need for travel to support training events or recruitment activities. Must be able to sit for long periods of time working directly on a computer.
