Job Summary:

This role provides administrative support to the Corporate Human Resource Department to ensure optimum efficiencies, timeliness, accuracy, and integrity in the management of data and information critical to the HR functions of the facility. Generates reports and maintains both physical and electronic file mechanisms.

Key Responsibilities:

  • Processes HRIS employee information for new hires and employee changes to ensure timely and accurate records. Reviews timesheets and payroll changes, timecard entries and PTO hours, garnishments and employment database using NOVAtime and UKG software web-based systems. Maintain attendance and discipline process. Creation of corrective action documents, review of policy, and maintenance of expiration processes (work behavior, attendance, safety, production standards, etc.)
  • Maintain absence reporting line and communicate to management. Maintain NOVAtime notes for absence and attendance records.
  • Administer and management of new hire orientation process to ensure new hires receive accurate employment and company information. This includes maintaining up-to-date orientation packets, scheduling appointments in conjunction with on-board and communication of benefits and payroll processes to the new employee.
  • Administer and management of offboarding processes.
  • Implement recruiting processes for the fulfillment of hiring needs of the facility. Complete appropriate interviews, reference checks and maintenance of community relationships to effectively and efficiently fill open positions. Maintain approval forms and spreadsheets.
  • Prepare various HR communications, interview and new hire orientation packets, announcements, job postings and general information to support HR department. Keeping forms, copies, supplies updated and available. Ensure compliance acknowledgments are trained, maintained, and documented i.e., Harassment prevention training, Code of Conduct, employee handbook, etc.
  • Maintains NOVAtime timekeeping system to support production reports, attendance, and Key Performance reports. Reconciles benefits balances to UKG.
  • Coordinate and manage engagement activities at the facility within prescribed HR budget and scheduled activities to promote employee relations. Facilitate Service anniversaries, birthday cards, communication board. Ensure communication boards are up to date with required postings.
  • Initiate benefits paperwork for leaves of absence, etc. to provide to HQ HR. Maintain FMLA calendar, PTO, PTO bucket and audit comparison of systems.
  • Maintain all employment and HR files to ensure accurate and organized employee records, i.e., UKG Electronic file management system.
  • Administers Worker’s Compensation for facility, review of accident report, complete reporting claim process into Worker’s Compensation insurance company website. Follow-up and inquiries to ensure employee is receiving effective care. Update OSHA 300 Log for posting. Maintain first report of injury. Communicate appointments and restrictions to supervisors, etc.
  • Performs other projects, work and activities as assigned to ensure continuous service to our internal and external customers.

Requirements:

  • High school education or GED required, Associate’s Degree preferred.
  • Proven experience in HR or related field, 3-5 years.
  • Valid Drivers License
  • Proven ability to achieve performance goals/expectations.

Work Environment and Physical Requirements:

  • Ability to sit for long periods of time.
  • Vision abilities required to validate and enter data on computer.
  • May occasionally lift and/or move up to 20 lbs.
