SAIC Senior Analyst - Workflow Manager SAIC is hiring a Senior Analyst - Workflow Manager to provide executive-level management and analytical support to senior DoD officials within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)) Office of Strategic Capital (OSC) Front Office. This position requires close interaction with top department leadership within the Pentagon and across the Department of Defense (DoD), including Components, industry partners, academia, international partners, and associations to achieve mission goals and outcomes. The Senior Analyst / Workflow Manager will solve complex problems, manage meetings, schedules, and front office operations, plan and track travel, visit requests, and increase workforce productivity through process improvement. This position is on-site in Arlington, VA. Position Responsibilities: Responsible for OSC Pentagon suite daily open/close duties, security compliance, suite access requests to include personnel and visitors, and granting visitor access including meeting/greeting/escorting duties for the front office. Manage and align extensive executive schedules across multiple calendars, coordinate visit requests, and de-conflict events for senior level principals in the front office. Gather information; articulate, analyze, and solve problems; visualize and present information; and provide recommendations and decision support to achieve mission outcomes. Arrange for appropriate conference rooms/facilities and prepare meeting places in accordance with acceptable protocol and security procedures. Assist with special event requirements such as time and place, location, duration, number of attendees, security requirements, and travel arrangements. Review and route senior-level executive correspondence, ensuring compliance with established DoD correspondence standards and professional formatting/grammar. Assist front office government personnel with domestic and international travel to accomplish mission requirements efficiently using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR). Assist with various administrative duties as assigned by the front office principals to include, but not limited to, creating, updating, and maintaining a variety of documents, spreadsheets, and trackers. Serve as backup to the OSC Director’s Executive Assistant, as needed during gaps in coverage. Provide process management for executive correspondence and organization taskings ensuring that products meet applicable standards and are within required suspense. Track and analyze office workflow tasks using the Correspondence and Task Management System (CATMS); review volumes of data to identify appropriate actions needed and ensure all tasks are handled in a timely manner. Compose correspondence and documents for senior leadership, ensuring accuracy of enclosures, attachments, and reference documentation. Route correspondence in accordance with designated routing lists, recommending format and content changes to maintain high-quality products while maintaining control systems to always reflect task status. Create/manage communications for the enterprise, group, and individuals including meeting agendas, briefings, and action items. Develop weekly reports on significant activities, report on the effectiveness of events and processes. Qualifications Required Clearance: Top Secret clearance required to start; Ability to obtain a TS/SCI to maintain employment. Required Education and Experience: Bachelor’s degree and ten (10) years of experience; Master’s degree and eight (8) years of experience. Specialized experience, including military or industry administrative or workflow experience, may also be substituted in lieu of specific educational requirements. Strong understanding and experience with Correspondence and Task Management System (CATMS). Experience working in DoD, especially OSD. Expert with Defense Travel Service (DTS). Required Skills: Strong leadership, problem identification/resolution skills, flexibility, initiative, and a proven ability to work with Senior Executives efficiently and effectively. Experience writing briefings, correspondence, and reports. Excellent grammar and computer skills in MS Office (Word, Excel, PowerPoint) and Google Workspace (Sheets, Slides, Docs). Excellent organizational and teambuilding skills, good interpersonal skills plus strong attention to detail. Ability to work proactively and independently in an extremely fast-paced dynamic environment, managing multiple emails and calendars at once. Familiarity with Congressional processes for meetings that take place on the Hill. Desired Skills: Background in National Archives and Records Administration (NARA) requirements for records and information management.
