Position: Director of Operations

Position Summary

The

Director of Operations

is directly responsible to the Vice President of Operations. S/he is responsible for the oversight of the Unit/Club Program operations with the primary concern for; staff development; membership administration; grant deliverables; and program budget management. This includes accountability for staff recruitment, supervision and leadership; coordination, collaboration and communication between programs; community and family involvement; school district and school site relationships; as well as data collection, integrity, analysis and reporting.

The

Director of Operations

provides leadership and direction to her/his direct reports in carrying out the key roles assigned to them. S/he assists in providing direction and support to the Club in developing organizational goals, attaining resources, and establishing policies. Coordinates across Club locations to ensure quality execution of all grant deliverables. Evaluates and develops a comprehensive strategy that ensures the achievement of annual goals, and that the safety and protection of youth is the number one priority. S/he must have the ability to work a flexible schedule based upon

program/organizational

needs. This position is a full-time, exempt position.

Key Roles Provide leadership and supervision to Club Directors and Program Leadership Team to ensure implementation and fidelity of program goals and outcomes. Recruit, develop, and evaluate program staff and volunteers. Accountable for the development and supervision of program staff, including the enforcement of operational policies and procedures and performance management. Accountable for the Club Environment and Safety of Club, members, activities and programs. Accountable for day to day program plans and measurable outcomes Accountable for the behavior management of members including the development of behavior plans & contracts with parents to address issues. Accountable for facility/site maintenance, upkeep, and organization of program spaces. Responsible for the collection of member and program data. Build and maintain partnerships with schools sites and community stakeholders. Effectively respond to and address daily issues and challenges. Successfully recruit and manage staff and volunteers to enhance clubhouse/school site programs. Participate in, and when necessary lead meetings related to: program, trainings, site meetings, etc. Adhere to established organization procedures, systems, and financial policies. Engage with partner agencies and organizations. Responsible for operating assigned site(s) within established budget. Participate in special duties or events as directed by Chief Executive Officer

Education, Experience, Requirements

A Bachelors degree from an accredited college or university, or equivalent work experience considered; advanced degree preferred. A minimum of five years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people. Demonstrated ability to organize, direct and coordinate operations in: personnel supervision; recruitment and retention of key personnel; facilities management; and budget management. Valid Drivers License and be approved by the Club's auto insurance provider. CPR and First Aid Certifications

(provided if hired).

Required Skills

Excellent written and verbal communication skills. Effective group leadership skills, including an understanding of group dynamics. Ability to remain poised, positive, and energetic in a busy work environment. Ability to work flexible schedule based upon

program/organizational

needs.

Ability to market agencys programs and/or events using a variety of means.

Essential Functions

Leadership

Provide effective and inspiring leadership of BGCKY operations by being actively involved in all programs and services. Implement and lead a continuous quality improvement process throughout the program, and service areas, focusing on systems/process improvement. Promote regular and ongoing opportunities for all staff to give feedback on program operations. Lead a high performing team of Club Program Staff to next level by further developing and implementing recruitment, training, and retention strategies. Assist in the preparation of the annual program budget for review and manages effectively within the budget. Report accurately on progress made and challenges encountered. Ensures establishment of and adherence to policies and procedures that reflect the Clubs mission and values. Makes informed critical decisions; assists in establishing and disseminating department procedures. Assures grant funds received are utilized in accordance with the scope of grant guidelines, expectations and that all supporting documentation is collected accurately and timely.

Strategic Planning

Plan, develop, implement and evaluate programs, services and activities to ensure they meet stated objectives and member needs and address their gender and cultural diversity.

Leads Program Leadership teams to plan and implement a successful and meaningful after-school and summer experiences based on BGCA Core programs and achieve Youth Development Outcomes.

Provide programmatic leadership and input for all strategic planning processes with Vice President of Operations and CEO and staff.

Resource Management

Ensure the continued financial viability of BGCKYs programs through sound fiscal management. Ensures programs expenditures are within program budgets; maintains appropriate financial records and yearly budget preparation with established benchmarks. Manages and monitors the Club sites to ensure a healthy and safe environment and that all equipment and supplies are well maintained; ensures compliance with organizational policies. Conducts regular team meetings to ensure sites are operating consistently and in accordance with BGCKY policies. Assists with recruiting, selecting assigned staff and volunteers, ensuring productive and effective performance; ensures compliance with organization policies; manages and provides professional development for staff and volunteers. Partnership Development

Works in partnership with local school districts and local community stakeholders to evaluate and adapt a comprehensive strategy that ensures Club performance increases year after year. Partner with the Vice President of Operations, Vice President of Resource Development, Human Resources, and CEO to represent BGCKY with external constituency groups, including community, governmental, and private organizations. Represent BGCKY in community initiative meetings, youth development arenas and program quality enhancement strategy initiatives. Develop and maintain a positive and informative role with the BGCKY Board of Directors. Develop and maintain collaborative relationships with organizations that can provide support and enhancement to BGCKY program and future opportunities.
