POSITION OVERVIEW:
The Automotive Title Clerk for Tire Discounters' Dealership will be responsible for ensuring that the legal documentation associated with vehicle ownership and transactions is accurately processed. Key duties involve working with various automotive and legal documents, coordinating with government agencies, processing vehicle transactions, meticulously verifying costs for the accounting department including the costs of reconditioning and equipment add-ons, overseeing the legal transfer of documents to the Department of Motor Vehicles (DMV) and maintaining meticulous records.
ESSENTIAL FUNCTIONS:
- Process registration for all used vehicles, ensuring compliance with state-specific titling requirements.
- Accurately prepare tax and title documents for vehicle transactions.
- Submit legal transfer paperwork to the Department of Motor Vehicles (DMV) promptly in a timely and compliant manner.
- Verify that all necessary funds have been collected and that the correct lienholder has been paid off before processing title applications.
- Thoroughly review title applications for accuracy, completeness, and adherence to regulatory requirements.
- Prepare payoff checks for trade-in vehicles and handle dealer trade billing.
- Maintain a system for processing out-of-state titles efficiently.
- Compile and manage a comprehensive list of outstanding title work, reporting to management and the comptroller regularly about the status of missing or problem titles.
- Accurately record vehicle sales and purchases.
- Process and register vehicle warranties and extended service contracts, maintaining a detailed contract log.
- Collaborate with the Comptroller to process yearly dealer tag renewals.
- Stay updated on title regulations through seminars and training sessions, providing guidance to F I managers and sales personnel.
- Communicate regulatory changes through written memos to managers and sales staff.
- Maintain a professional appearance and a well-organized work area.
- Perform additional assigned tasks as required.
- A deep understanding of federal and state specific regulations, requirements and processes related to vehicle titles.
- Familiarity with legal documents such as bills of sale, lien releases, odometer disclosures, and title transfer forms.
- Knowledge of financial processes related to vehicle transactions, including lienholder payments.
- Proficiency in organizing, maintaining, and accurately processing various vehicle-related documents.
- Proficiency in using computer software for record-keeping and document preparation, as well as working knowledge of office productivity tools such as Microsoft Office, particularly Excel and Word.
- Strong customer service skills to assist customers with title-related inquiries and concerns.
- Exceptional attention to detail, strong organizational abilities, problem solving skills, effective collaboration and communication skills, both written and verbal, to interact with customers, colleagues, and government agencies.
- Knowledge of dealership-specific operations is a plus
- Knowledge of automotive financing and title transfer procedures is a plus.
EDUCATION AND WORK EXPERIENCE:
- High school diploma
- Minimum one year of prior experience in a similar role within an automotive dealership or related field including administrative roles that involve document management, record-keeping, and attention to detail.
- Experience in auto title processing, vehicle registration, or dealership operations is a plus.
- Experience in customer service is a plus.
- This job requires sitting and standing for extended periods of time.
- This position may require working in a dealership office environment, with occasional exposure to outdoor elements.
- This role routinely uses standard office equipment such as computers, phones, photocopier and filing cabinets.
- While performing the duties of this job, the employee is regularly required to talk and/or hear.
- May require occasional lifting of up to 25 lbs and reach with hands and arms.
- May require occasional weekend or evening work.
