Exempt JOB SUMMARY:

The Operations Program Specialist will partner with the Operations Program Manager to collaborate with key stakeholders, leverage best practices, and ensure the successful adoption of program, process, and system initiatives in support of property operations. This position also provides day-to-day support for issues and questions for assigned programs. RESPONSIBILITIES: Thorough Understanding of Multifamily Operational Programs and Processes:

Develop in-depth knowledge of assigned operational programs and processes.

Initiate and support System Changes, Program Modifications, or Software Updates:

Ensure that any changes or updates to systems, programs, or software comply with internal policies, audit controls, and regulatory requirements. Collaborate with relevant stakeholders to assess the impact of changes and ensure a smooth transition.

Interface with Stakeholders:

Regularly engage with team members, vendors, customers, and external consultants to evaluate performance and maintain the scope, deliverables, and requirements of all programs. Foster clear communication to ensure the performance of programs meets expectations.

Collaborate on Project Completion:

Initiate conversations with internal and external customers to successfully develop the scope, assignments, timelines, and expected outcome results through completion of assigned projects. Identify and address any issues that may arise during the project for timely resolution.

Ensure prompt resolution of issues that occur post-implementation of programs or process improvements with internal and external stakeholders. Escalate critical issues to management teams as needed. Update Standard Operating Procedures (SOPs):

Regularly evaluate and update SOPs associated with any new or changed programs, processes, or systems. Regularly evaluate and review SOPs to ensure their effectiveness and make revisions as necessary.

Performance Standards:

Define key performance indicators to best evaluate and measure performance of programs. Develop reporting standards and recipients, to deliver accurate reporting within the agreed upon timeframes. Evaluate performance of program and recommend changes needed to enhance program results and effectiveness.

Stay Informed About Industry Developments:

Keep abreast of industry developments, regulatory changes, and management/operation requirements. As directed, research alternative program services to support operational goals and challenges. Discuss relevant updates with Manager and relevant stakeholders to propose necessary adjustments to programs or processes.

Support Day-to-Day Issues and Questions:

Address day-to-day issues and questions related to assigned programs. Escalate critical issues to the management team for timely resolution.

Create User Guides and Training Resources:

Develop and manage user guides and other resources to support new systems or processes. Coordinate and facilitate training sessions as needed.

Perform Other Essential Duties:

Undertake any additional responsibilities or tasks as assigned by management. Monitor cable and laundry contracts for renewal to ensure the continuity of business relationships and prevent any disruptions. Support acquisition and disposition tasks as necessary.

QUALIFICATIONS: Bachelor’s degree or equivalent combination of education and experience. 3-5 years of relevant experience. Experience collaborating with cross-functional and remote teams. Demonstrated ability to manage multiple projects, vendors, sponsors, and stakeholders. Demonstrated proficiency with Microsoft Office (PowerPoint, Excel & MS Word). Advanced Excel skills are a must. Excellent interpersonal effectiveness and communication skills. Demonstrated knowledge of the multifamily industry. Strong analytical and financial skills with a deep understanding of Project Management concepts. Demonstrated leadership skills - must foster an inclusive work environment and respect all aspects of diversity. LOCATION:

This position is onsite in the Norfolk, Virginia office or can potentially be remote outside of the Hampton Roads area
