Essential Duties and Responsibilities: · Provides overall safety and security within the program. · Greets and signs-in youth, families, and visitors; and manages youth in common areas and not in services. · Supports Program Director with Flex Funds ensuring accurate records of dispensed funds and corresponding receipts and ensures all Flex Funds are reconciled in the Flex Fund Spreadsheet. · Administers WAIs to program clients in accordance with the WAI protocol; maintains WAI tracking sheet and ensures timely submissions. · Supports staff with organizing and setting up Family Day activities, ensuring flex funds, food items and other supplies are available. · Supports with maintaining resource binders and ensures they are readily available for client support. · Participates on the agency's Safety Committee and work with Program Director to ensure all recommendations are reviewed and implemented into the program. · Supports Program Director in identifying any maintenance or IT issues and that tickets are promptly reported to the Help Desk for resolution. · Support Program Director and staff in keeping the program organized in a healthy clean environment. · Support Program Director with maintaining staff training log to ensure all staff are updated with required JBCSSD and Connecticut Renaissance trainings; updated auto insurance and driver's license information. · Assists with data entry and review of CDCS to ensure accuracy, timeliness and overall quality assurance of program data. · Maintains compliance in documentation with agency and program standards. · Responsible for overseeing vehicle maintenance and safety inspections. · Participate in all required internal and external meetings and supervisions. · Complete all required internal and external trainings within required timeframes. · Meet and contribute to agency outcomes and performance measures. · Adhere to state and federal regulations, and standards of accreditation, facility licensure and funding sources. · May perform other duties assigned by supervisor, including transporting youth/families when needed. Required Knowledge, Skills, Abilities and Other Characteristics: Knowledge Of: · Bilingual in Spanish/English preferred. · Community based services. · Billing and authorizations. · Electronic Healthcare Record systems. · General office software, particularly Microsoft Office Suite and SharePoint. Ability To: · Communicate effectively both verbally and in writing. · Manage priorities effectively to meet deadlines and demonstrate multi-tasking skills. · Assimilate new information and technology. Education and Experience: · High school diploma or equivalent. · Three to four years' experience in clerical support in a community, family, or justice involved setting. · Bilingual in Spanish a plus. Other: · Must be dependable and reliable; detailed oriented; and able to interface easily with clients, staff, and referral sources. · Must be able to meet routine office physical demands including climbing stairs, carrying up to 20-pound objects and possess the dexterity and vision to operate office computers and equipment. · Must have a valid Driver's License. · Must successfully complete the introductory probationary employment period.
