VOA integrates compassion with highly effective programs that build and strengthen communities.** The Receptionist will oversee general administrative functions and activities of the office. The Receptionist handles a variety of administrative support tasks, including answering phones, receiving visitors and volunteers, assisting with scheduling meeting rooms, sorting, and distributing packages/facility mail, outgoing/incoming Fed-Ex orders, and managing office supply orders/light accounting duties, advancement duties, and HR support
Essential Duties and Responsibilities
- Greet, welcome, and direct clients, volunteers, and visitors with a positive, helpful attitude.
- Answer phones in a professional manner and routing calls as necessary to department program staff
- Provide clerical support such as answering phones, sorting, and distributing mail/packages, and preparing documents, and scheduling meeting rooms.
- Support HR Department with clerical work including driver eligibility list and cell phone reimbursement list.
- Support Accounting department with basic AP support, document management, and other duties.
- Support Advancement team by performing clerical work including writing thank you notes.
- Maintain workplace security by following procedures, issuing, checking and collecting badges as necessary and maintaining visitor logs.
- Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs from the reception area.
- Provide excellent customer service.
- There are no supervisory responsibilities for this position.
While performing the duties of this position, the employee is regularly required to speak and hear. The employee frequently is required to use hands or fingers, handle or feel objects, tools, or controls. The employee is occasionally required to stand; walk; sit; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.
