POSITION SUMMARY: To provide administrative support in the area of travel coordination, expense processing, and time-keeping for the team members of MZ Installation including Project Managers and Field Installers.

POSITION COMPETENCIES: Responsibilities associated with each position are a combination of organization-wide and department specific standards. Competencies are evaluated initially during each employee's Introductory Period using the on boarding plan and manager observations. Thereafter, competencies are assessed on an on-going basis and formally documented annually using the Annual Performance Appraisal Form.

JOB FUNCTIONS:

ESSENTIAL JOB FUNCTIONS:

  • Act as the travel agent and communicate with 60+ Field Installers to book their flight, ground transportation and hotel reservations.
  • Handle multiple inbound and outbound calls per day with Crew Members, airline carriers, hotels, and car rental providers.
  • Verify possible alternative transportation for Crews to/from their starting and ending points.
  • Verify accuracy of travel arrangements, correct usage of contracted rates, and max edits.
  • Coordinate with hotels on new bookings, adjustment and cancellations.
  • Make arrangements via TripAction according to policies and procedures.
  • Review and submit weekly timesheets and expenses for 60+ Field Installers.
  • Punctuality and regular attendance are required on the job.
  • Nighttime and occasional weekend work is required.

  • Skills are maintained and enhanced through meetings with interdisciplinary team members, participation in planning activities, and attendance at in service and continuing education programs.


POSITION REQUIREMENTS/QUALIFICATIONS:

Education: High School Diploma

Experience: 1 to 3 years Administrative Support

Special Skills/Qualifications: Microsoft Office, data entry, records maintenance, project coordination skills, strong verbal and written communication skills, high attention to detail, sense of urgency, cognizant and respectful of sensitive and confidential situations, tact, diplomacy, able to interact with wide variety of personalities

MENTAL AND EMOTIONAL REQUIREMENTS: The incumbent must manage stress appropriately; make decisions under pressure; handle multiple priorities, work alone; work in areas that are confined and/or crowded.

ENVIRONMENTAL CONDITIONS: The incumbent will never be exposed to toxins, chemicals, detergents, and extreme temperatures (30 degrees F - 115 degrees F), dust, fumes, moving mechanical parts, x-ray/electromagnetic energy, high pitched noises, Communicable diseases, or gases. The incumbent will spend approximately 100% of their time indoors.

PHYSICAL DEMANDS: SEDENTARY WORK: Lifting 10 lbs. maximum and occasionally lifting and/or carrying articles.

PHYSICAL REQUIREMENTS: Must be able to lift and/or push up to 20 pounds with mechanical assistance. This position requires stooping, kneeling, bending, manual dexterity, repetitive hand and arm coordination, finger dexterity, vision acuity both far and near with depth perception. The incumbent will sit 85% of the time and stand/walk 15% of the time.
