Position: Admin. Assistant - Be the Heartbeat of Our HR Division
The primary goal of this position is to provide timely and effective assistance to the Human Resources Division.
How You'll Make an Impact:
As ABC's Human Resources Assistant, you'll be responsible for performing various administrative, office, and clerical functions under close supervision to support the Human Resources Department. The HR Assistant follows verbal and written directions to complete standard routine tasks such as maintaining and updating files, organizing statistical information, data entry, and responding to employee inquiries.
Requirements
What You'll Bring:
- Associate degree or 2 yrs. Minimum in an Administration role
- Bilingual (English/Spanish) required
- Excellent verbal and written communication skills
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
- Excellent organizational, analytical, research and problem-solving skills with attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Detail-oriented and ability to prioritize tasks
- Exhibit a positive attitude
- Desire to take the initiative and ask questions
- Proficiency with Microsoft Office software products (Excel, Word, PowerPoint), electronic filing, and essential office equipment (printers, scanning, online fax) and/or the ability to quickly learn computer applications
- Experience using accounting software
What You'll Do:
- Performs administrative and recordkeeping tasks while maintaining accurate and up-to-date human resource files, records, and documentation. Disseminates required information to other departments appropriately
- Manages the new hire Onboarding process and communicates with candidates as needed
- Performs background checks and Drug screening
- Organizes new hire orientation
- Provides clerical support to the HR department, performing other duties as assigned. (Makes copies, faxes documents, maintain HR email, electronic filing, HR helpdesk, etc.)
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management
- Reconciles HR invoices monthly through Concur accounting/expense software
- Assists with benefits questions, annual wellness clinics, and open enrollment
- First line of support for employees
- Maintains the record of employee anniversaries and milestones, arranges gifts and celebrations
