Description
Assists General Manager of Facilities with coordinating construction and maintenance projects at Keeneland Racecourse. Must have knowledge of all building trades, OSHA requirements, and an understanding of utilities and potential environmental impacts. The Project Coordinator will participate in design and construction meetings, and will be responsible for preparing meeting agendas and tracking meeting minutes. Will assist in preparing and coordinating project scopes of work, estimates, budgets, schedules, permits, and all required project documentation. Responsible for building and maintaining relationships with local contractors and vendors.
DUTIES:
- During the design phase, the individual will coordinate with the GM of Facilities, Director of Maintenance, Mechanical Super, Electrical Super, and Trades Super to ensure all scopes of work meet our internal specifications and standards.
- Responsible for preparing and issuing RFPs and invitation to bid notices. Individual will be involved in the contractor and vendor selection process.
- Once projects are in the execution phase, the individual will provide daily project supervision and assist project teams with expediting workflow.
- Responsible for vetting proposals and change orders prior to presenting to department leads.
- Individual will work closely with Finance to ensure all invoices are vetted, submitted, and paid on time.
- Responsible for providing weekly and monthly project updates.
- At substantial completion, the individual will coordinate punch walk and manage the punch list to ensure final completion is completed on time and to the Keeneland Standard.
- After final completion, the individual will ensure all warranties and turn over documentation has been received, filed, and distributed to the correct stakeholders.

EDUCATION and/or EXPERIENCE
- Must have Bachelor's degree in project management, facilities management, quality management, environmental science, or other related business/technical field preferred
- Proficiency with MS Excel and MS Word
- Familiar with MS Project or other project management software
LANGUAGE SKILLS
Ability to write business correspondence and effectively present information in one-on-one and group situations of all sizes. Must be able to communicate with confidence and deal with groups of diverse individuals.
CERTIFICATES, LICENSES, REGISTRATIONS
A Kentucky Horse Racing Authority License is required for all track workers.
