Summary and Purpose:

This position participates in the activities of the Business Office including general ledger maintenance, payroll, accounts receivable, and accounts payable. This position has responsibility for the daily, monthly and yearly compilation, reconciliation and analysis of the college's finance transactions and statements.

Responsibilities/Duties/Tasks/Essential Functions:
  • Performs analysis, maintenance and reconciliation of all financial accounts and records; Prepares journal entries for corrections and adjustments.
  • Works with college staff, answering questions and providing account information and data requested.
  • Processes general ledger month-end close out; Gather departmental charge activity and post to general ledger.
  • Compiles and prepares financial information for college, state, and federal reports. Assists in the preparation of monthly and year-end financial statements.
  • Monitors state, federal and local grants, for both fiscal activity and compliance assurance. Reconciles grant activity with appropriate college departments and prepares grant financial reports as required.
  • Prepares and maintains reconciliation of the college's investment activity. Monitors college general fund checking and savings account activity. Records balance transfers. Prepares monthly college general fund bank reconciliations. Monitors "stale" checks and process disbursements for Michigan Unclaimed Property.
  • Assist in the oversight of accounting functions to ensure accurate and timely completion of bank reconciliations, payroll, payables, and receivables in accordance with GAAP and College policy; assists department and college staff with problem resolution as needed.
  • Assists in the oversight of institutional financial internal controls.
  • Assist in the coordination of the year-end audit; prepares complete information including "detail" sheets and works closely with auditors while they are on campus.
  • Manages financial compliance and tax reporting including payroll taxes, 990 federal return, sales tax and 1099 reporting.
  • Maintains fixed asset inventory system including tracking of all fixed assets acquisitions and disposals, and the updating of the fixed asset database, including depreciation schedules.
  • Supports in the annual budget process and monitoring of budgets during the year.
  • Performs other job duties as assigned.
Knowledge, Skills and Education Requirements
  • Must have a Bachelor's degree in Accounting from an accredited college or university; Master's degree preferred.
  • Three to five years of progressively more responsible experience, or combination of education and experience commensurate with the requirements of the position.
  • Must have strong oral and written communication skills.
  • Must have strong analytical, problem-solving, decision-making, and teamwork skills.
  • Experience with Ellucian Colleague software preferred.
  • Must have experience with Microsoft Office financial products; must be proficient in Excel.
  • Must be able to perform essential job functions with or without reasonable accommodation.
Work Environment & Physical Demands
  • Must be able to function effectively in a busy environment with interruptions.
  • Constant use of computer and telephone.
  • Some occasional lifting (20-35 pounds)
