The Proposal Coordinator will report to the Proposal Manager and work closely with and support the estimating team. Job Title: Business Development Proposal Coordinator

Essential Duties and Responsibilities:

Thalle Construction is currently seeking a Proposal Coordinator. The Proposal Coordinator will work closely with the Proposal, Business Development, Marketing and Estimating teams and interact with a variety of staff at all levels in an ever-changing environment, remaining flexible, resourceful, proactive, and efficient with a high level of professionalism and confidentiality.

  • Provide support to the Proposal Manager - in working with the Proposal, Business Development, Marketing and Estimating departments.
  • The Proposal Coordinator is responsible for leading, planning, scheduling, and overseeing the timely development and delivery of high-quality responses to municipal & government business opportunities, from pre-RFP to post-submission activities, in a fast-paced environment
  • The ideal candidate is well organized and will help hold the proposal team accountable to schedule
  • The candidate thrives in the dynamic environment of changing schedules, requirements, and priorities that often comes with proposals
  • Lead and analyze RFI, RFQ, RFPs and other bid documents for requirements, in a quick and efficient manner
  • Generate requests to include Bid Bonds, and Certificates of Insurance.
  • Maintain and utilize the proposal content library to include boilerplate, resumes, past performances records, contract profiles, and other content as a primary resource in the completion of assigned tasks.
  • Schedule appointments and maintain meeting minutes / notes for the Business Development and Marketing meetings.
  • Generate reports and communicate status to Management.
  • Ability to work on multiple concurrent projects
  • Data entry will be required.
  • Conduct business with 100% integrity and professionalism.
Education and/or Work Experience Requirements:
  • Minimum of associate's degree in construction, marketing, graphic design, related field or 1-2 years of relevant experience
  • Experience in Adobe Creative Cloud (InDesign, Photoshop, Acrobat, and Illustrator) with clear and demonstrated knowledge of graphic design standards, practices, and applications is highly preferred
  • Demonstrated experience and ability in technical writing experience is a plus.
  • Experience in architectural/engineering/construction industry is a plus.
  • Must be proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Excellent verbal and written communication skills are required.
  • Demonstrated ability to form excellent working relationships with all levels of employees.
  • Excellent organizational skills.
  • Ability to multitask and work independently under pressure and tight deadlines.
  • Strong attention to detail.
  • Must have own transportation.
  • Ability and willingness to learn new applications
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
Physical Requirements:
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • Must be able to lift and carry up to 50 lbs.
  • Must be able to talk, listen and speak clearly on telephone.
